View Full Version : Internal Auditing - Access Database for tracking Internal Audits
D.Burpee 16th August 2005, 04:05 PM I recently started working on an Access 97 database for Internal Auditing (yes Access 97 my company hasn't made the switch yet). Does anyone have a copy of a database that they have implemented and would be willing to share for comparison? Same thing goes for any other databases (i.e. Docu Control, Engineering Change Control, etc...) I think I'm reinventing the wheel. :rolleyes:

rose24m03 16th August 2005, 09:39 PM Are you regulated by FDA? If you are, then your Access database needs to be validated prior to usage per QSR 820.70(i). Pls see 21 CFR Part 11 and guidance documents for more info.

I have done loads of Access databases, and it is a fantastic tool.

This is actually my first post but I have been dipping in and out of the Cove for some time now - it is certainly one of the best forums for help and advice.
I have been using an Access database for calibration control - it's a free download from CJSystems and called cal2k. Very useful.
I have tried creating databases to cover non-conformances and customer complaints but my Access programming skills leave much to be desired. I end up exporting the data into Excel which kind of defeats the object...
I would be very interested in sharing ideas, code etc. Please keep me in the loop!

If the file is too big (more than 3 megabytes), you can try zipping it or e-mail it to me and I'll upload it with a link to it - Just let me know what thread you want the link in.
chergh 17th August 2005, 12:13 PM Here's the internal audit database I am currently writing. It does function at the moment but needs a lot of clearing up as test tables and surplus queries exist. Looking at the table relationships should give you the general idea of how to get it up and running for you but at the moment I've not had time to document it. Hope it helps.

nickh 19th August 2005, 06:37 AM FDA verification and validation compliance isn't really that bad. To verify it, document it's intended purpose and verify that it's design meets that purpose. To validate it, make a list of the expected inputs/outputs and validate that what is supposed to happen actually does. Doing these 2 things should satisfy your FDA auditor.
The FDA did publish a "guidance" several years ago, but I can't recall whether "guidance" means you can interpret it as a suggested course of action or a required course of action. I think it was "suggested".

Right click on the link to the file and select "save target as" and download it. Should solve the problem.
Koala 19th August 2005, 12:55 PM I'm really interested in looking at this database as I too am trying to implement an internal audit database. I got the same stream of data Marc did so I tried right clicking, save target as, and down loaded to my desk top. When I tried to open it it said 'unrecognized format'. Any suggestions? OK, that worked. When I right-clicked to save, the dialog read "inter_audit.mdb.htm". I saved it anyway, then had to rename the extension. Weird - I've never seen that download behavior before.

Unless it's over 3 megabytes in size, there shouldn't be a problem unless one is at a company with a very restrictive firewall.
chergh 14th September 2005, 04:41 AM I've done little more work on the database since last time, nothing major cleared away some obsolete forms, corrected the tab orders and added the ability to add processes for auditing from the front page. I have a load of other stuff I still intend to do.
To get started with it add your audits with the "add new process" button.
Once you have added the audits schedule them using the "audit scheduler" button. The format for the dates is "dd/mm/yy" this can be changed in the table or may change to local setting automatically.
If you find anything that doesn't work let me know.

Koala 15th September 2005, 01:12 PM That's a great site- thank you. My guess is the database was created in a newer version of Access than I have. I have 97 :(. That site says I can't make the database go forward, I can only make it go backward (does that make sense?). Thank you again for that site- I will keep that one.

Thanks for posting this database. I had no trouble downloading it.
It looks great! We don't use Access for anything around here -- not sure why. I have been trying to get our quality manager to let us use Access for tracking document revisions and distribution, but he's not interested. I'm thinking of showing this to him and to our quality assurance officer as an example of what the software can do, as well as an example of what people can accomplish when they take a quality standard and run with it. Nice work, chergh. :applause:
Joe Cruse 22nd September 2005, 10:47 AM Another way around the compatability issue between Access versions is to make a new, blank database on your computer, and then try and import all of the objects (tables, queries, forms, reports, and modules) from the download into your blank database. I've had luck with this, but you may have to go into an open module and set all applicable references, for the code to all work correctly.

I wouldn't ever advise puting anything confidential into an Access database as the passwords are easy to recover.

The only change your likely to notice is the addition of a seperate non-conformance and corrective action module, which I've not really tested that much but it seems to work ok.

chergh 28th October 2005, 04:19 AM First thing you need to do is populate the table called "tbl_process_master_list" with your audit areas, you then need to use the "audit scheduler to schedule these areas for audit. Once you have done this the calendar buttons should work.
