Dear All,

We will launch our documentation thru intranet next month. I'm done converting our word docs to pdf format. Printing is disabled and have added a footer that "printed docs are uncontrolled copies".

Problem: "save a copy" / "file save" is enabled when browsing thru intranet using internet explorer. Has anybody encountered the same? Is there a way to disable this feature?

Hello Marla,

I believe it is possible to desable it. Just curious. Why do you want to disable the feature? I mean since you have converted you docs to pdf so that viewers should not be able to edit it, what is your goal of disabling the feature?

Disabling the "save" feature will prevent users from using "obsolete" documents especially if he/she seldom visits the intranet and just refer to the "saved" copy on his pc.

Hi Marla,

It is possible to disable Acrobat supported AddOns in your browser,
but still it could be opened by other (computer) internet browser
since PDF distribution is allowed to all degrees thats why open docs
are most appropriate for PDF format.

As well as adding the uncontrolled if printed satatement in the header, when I moved to a Sharepoint system as a way of storing our documents, I have a statement that says "This document is uncontrolled if printed or stored outside the controlled document area". I don't think that there is a way of making sure people don't have controlled documents stored anywhere. With the statement we make on our documents it at least means that if the document is stored elsewhere it is clear that it isn't a controlled copy and shouldn't be taken as such.

The point about people not using the intranet (or anywhere else the documents are stored) regularly enough comes down to education.

Hello Marla,

I see. what you are asking is a little bit tricky. you'll need the help of your IT Admin. He will take it from there but a major fall back of doing this I think is that when browsing the internet, file save is also disabled.:tg:

The other work around is that, you need a script(java) to disable that feature. thus you need someone who knows programming.:read:

The easiest whould be to put a water mark or note on the docs saying somethink like: "This document is controlled electronically.
Any printed copy is for reference purposes only unless otherwise indicated.
The latest version of this document is available on the company's intranet"


I suggest you work on the 3rd suggestion. it is the safest way to address your concern. especially in an audit...:notme:

I do not recommend the first two suggestions because not many use them. and you will have to do a lot of explaining when somebody managed to secure an "illegal" copy of the document given you implemented a "no download site".:nope:

Technology is a powerful thing, but in a world full of genius minds, nothing is impossible. Therefore, in one way or another, someone will have a way to download that file. Believe me. Take it as "based on experience"...:bonk:

Anything that can be displayed on a user's screen can be saved and printed. See the attachment.

Hey Mabuhay!

I think you can disable this feature once you create the PDF file.. If you have adobe version 6 go to Document Properties under File menu and you'll see a variety of control to disable and enable (i.e copying, printing and filling fields, etc).

Hope this helps.

PS: Once the pdf file is selected on the INTRANET, adobe is enabled to open the file and you cannot copy, save or print if you have disabled these as you have created them on the get go..

Bear also in mind, to include electronic signature to your PDF document, it exists program to crack the PDF (i.e Solidpdf )

The version of the document it is controlled with the revision number (or date) and History of changes, that´s why what you are asking is not often used
