I need to send a letter to our suppliers who scored the lowest on the monthly performance reviews. Does anyone have a template or any suggestions? I want it to be constructive.:confused:

How many suppliers / letters are we talking about? Is all this info in some sort of ready made Software or is spreadsheet / on paper? Jennifer Kirley 15th January 2008, 10:00 AM Welcome to The Cove!:bigwave: Instead of using a form letter, I would address the specific concerns with the suppliers. This would be more time consuming, but the reasons for their low performance need to be addressed. I wonder if your supplier development included a contact person? I hope so. If you don't have too many suppliers, and/or if the matter is urgent for some reason, I imagine it would be okay to place a phone call, and follow it up with an email or letter acknowledging the phone contact and understanding of what comes next. I want it to be constructive.:confused: If you're sure that your measurement criteria are objective and meaningful (often they're neither), then some form of personal contact is a better way to start, at least initially. The fact that you want to be constructive about it is an excellent start. Rather than just saying, "Here's what you did (or didn't do), and what are you going to do about it?" it's best to say, "Here's the situation and how it's affecting us--how can I help?" Remember that Deming's admonition regarding what managers are supposed to do--help people to do a better job--applies to management of suppliers too. Keep in mind that if you have a lot of underperforming suppliers, it's a signal that your company is doing something wrong, and haranguing the suppliers isn't likely to help. They have to intern come in and do a presentation to us on how they must correct all issues and how and when this will be asscomplished. Any chance of posting it here? world quality 17th January 2008, 02:27 PM Michelle, This works well and gets there attention. You will find three files attached. Change to your format for the two power points and the third is a excel file for the answer from the supplier that they have to come in and present to you or your company. |
