we also have the same scenario, we have some external documents. in our case, what we did is just refere to it by the record title and the owner's name (company name).

example is that we have a reference technical drawing in one of the automotive company, we just refer to it on the docmentation as :

TECHNICAL DRAWING of (PART NAME)
OWNER (Company Name)
DECRIPTION (the use of the item)
OTHERS

no need to have a particular code, coz usually, every client has a uniwue forms.
