I am having a Controlled Document Dilema. I work for a company that is QS/TE. Our Document & Data Control policy is to ensure during the quoting & Contract review processes that the required specifications are up to date. This usually works well (as long as the customer knows their latest revision level). The problem I am having now is the GM Specific requirements. We have not built anything for GM in years. (Probably since before QS was required). So... we do not necessarily have the most recent revisions. I am looking at this way: since the requirement says we SHOULD reference these manuals, that we can get away with not checking annually, because they are not a customer. Am I on the right track or is it wishful thinking?

My question back at you is whether you are still quoting to GM? If so and your policy states all specs. to be "current", you may wish to have the most recent GPs as some of them have added some "minor" requirements which your quoting process may wish to be aware of (e.g.: additional approval costs than your company may remember).
If GM is not a customer, why would you care if you have the most recent issues?

If your policy states that “during the quoting & Contract review processes that the required specifications are up to date “, then I think you are okay. During the contract and quoting process, specs must be up-to-date! Otherwise you would be quoting on old, untrustworthy data. The specs can get old, particularly if you haven’t quoted in years. But should you quote a new job, then the specs need to be updated for the project quoted . Not all specs need to be updated, only those you are working with.

No - We are not currently quoting to GM. If we do in the future it is part of the quoting process to ensure that we are quoting to the most current standards (that are needed for the project)
We have an audit next week, and in the last minute, 'Are we really OK? Check' decisions are being questioned again. (I think this question came up last time 4.5 was up for audit too)
