i'm new here and new about 5S. recently i've been selected as the secretary and 5S newletter editor. anybody can help and guilde me? gee thanks. :D

Welcome to The Cove and good luck with your newsletter. One thing you could do is ask Cove members to submit short articles to publish in your newsletter. Then people from inside your organization will probably get the idea and start submitting short pieces themselves. I've attached a short article of mine entitled "Getting it Together with Orderliness." The concept I call 'orderliness' is basically the same thing as 5S. If you use the article for your newsletter, please preserve the copyright notice.

Starla, tell us more about the mechanicals of your newsletter. Are there existing issues from previous editors or will you be the first? If there are previous issues, can you post an electronic copy here so we can offer suggestions for your tenure as editor?

How many readers will the newsletter normally have? What percentage of the total number of employees of your organization does this represent?

Are you going to be solely responsible for producing content (either writing it yourself or obtaining from sources outside the organization) or will there be regular contributors from within your organization?

What is the projected frequency of issues? Daily? Weekly? Monthly? Quarterly? Annually?

Any other topics besides 5S? How about general Quality articles? or does your organization have another newsletter for that?

Have you ever edited ANY kind of newsletter? If not, we can offer suggestions where to get information on tips and techniques for efficient production of newsletters.

Deciding what to put the newsletter and how can be very time consuming tasks, Starla. Having once been part of my high school newspaper, I know that sometimes finding topics to write about and then having to edit them for size restrictions can seem to suddenly take more importance over the main purpose....what are you trying to communicate?

If you have been "voluntold" (in other words, the people who are in positions higher than you have said that you get to do this task), ask them for their vision. What do they hope to accomplish with 5S? What do they hope to use the newsletter for? What is the goal of the newsletter? Is it the only tool to be used to communicate 5S to the people or it an aid, to help support additional training?

People don't seem to have a lot of time nowadays, so keep your newsletter short. But how short? This will be determined by how frequently you are to publish the newsletter. Personally, I would say no more than once a month...any more frequent than that (i.e., once a week) and you get swamped with work and your readers get "information overload".

Let's say you were to use a 8.5"x11" piece of paper, both sides. Things to consider for the newsletter (especially the first edition!):


Company logo and name in header.
Use column-like format (just like newspapers) or use text boxes and paste in the stories to fit.
Training schedule - if there is additional training sessions on 5S, list who is scheduled for when and where and what the topics are for the next two months or something like that.
Pictures of the areas that are doing great! Before and after pictures of your success stories....and take pictures of the people/teams that got them there!
The success stories. How they got there. Problems encountered and resolved!
Pictures of visits to other sites who have successfully implemented a 5S program...and talk to their people and their success stories (that might inspire your own people).
Reasons why you're doing 5S.
Reason for the newsletter (its goal/purpose/vision/objective).
First newsletter - letter from the President, to show his commitment to the 5S programme (do another one 6 months later to show how pleased s/he is at the progress).
With each newsletter, talk about one level/concept of 5S and how it can be applied within your organization (production and non-production, alike).
Contests - 5S word searchs, crosswords, trivia...winner gets a pizza party for their department or a gift certificate to the movies or something like that.
If 5S audits are being conducted, communicate all of the results in a table.


Seems like a lot to fit onto just one 8.5"x11" piece of paper, doesn't it? And it is. Now comes the real challenge of editing stories and content to fit and deciding what is really important, that it must stay..and what can be saved for another issue.
