Question Document Control - Are hard copies required in addition to soft copies maintained?

Hi,

Is it necessary to have a hard copy of the records even if we are maintaining the soft copy ? If we have purchased the AS9100 standard, do we require to keep the hard copy as well ?

i don't think it necessary; for the AS9000 stand, it will be better if bought

Unless you have defined in your procedures that you will maintain hard copies, it is not a requirement that you maintain hard copies, just that you maintain and control your records. Maintaining electronic copies is fine.

4.2.4 Control of Records
Records established to provide evidence of conformity to requirements and of the effective operation of the quality management system shall be controlled.

The organization shall establish a documented procedure to define the controls needed for the identification, storage, protection, retrieval, retention and disposition of records.

The documented procedure shall define the method for controlling records that are created by and/or retained by suppliers.

Records shall remain legible, readily identifiable and retrievable.

You have two questions, if I read this correctly:

When you say is it "necessary" or "required" to do anything, what do you mean? Are you asking if the standard is asking you to do something...if you have the standard, it should be clear. Are you asking because of some other reason?

You have to maintain records, but the standard does not state that you must keep hard and soft copies.

I scan certain records and then destroy them after the fact. This way they are quick to locate and I dont have boxes and boxes of documents piling up.
