Please Help! Monitoring Disposal (Disposition) of Documents and Records

Hello everybody!
As result of audit I have minor nonconformity regarding Document Control Procedure - "not point out the maintained records to monitoring disposed documents or records".
I have not any idea how it can be done
Could you advise me, PLEASE!!!

Re: Monitoring Disposal of Documents and Records

Hi Svletana,

I may suggest that you create a log where you keep record of all documents marked as "obsolete", "superseded" (or any other tag you apply for disposed docs). It should be consistent with your system. If you could be more specific, I could help you to set it up
Thanks to Irelomon for your informative Post and/or Attachment!

Svetlana,

You could treat superseded documents as records so they benefit from your documented procedure for filing, archiving and records disposal.

Normal monitoring by the persons doing the work and supervising the work (see 8.2.3) will include the processes of archiving and disposing of records.

John

Re: Monitoring Disposal of Documents and Records

Thanks for useful information! I made the Index of Records where the status of each document is recorded. Is this enough for monitoring of documents? Or better to implement something like document control checklists?

Re: Monitoring Disposal of Documents and Records

I have a small table by the end of all procedures and work instructions.
In this table, the related records are referencied and also where they are located, who is responsible for it, if it is physical or eletronic, how long it must be kept and which is the final disposal (recicling the paper, for example).
RECORD NAME - RESPONSIBLE - TYPE AND LOCATION - TIME TO BE KEPT - DISPOSAL
