Management Review - Not all items covered during quarterly review.

As from last year we have amended the way of conducting Management Review (MR) whereby same is conducted on a quarterly instead on yearly basis and as such not all items of the agenda as per our MR procedure are covered.

Grateful if you could help me to assess the implications and reasons to substantiate non coverage of all actions items and/or part compliance to what is supposed to be addressed in an MR.

Hi Viraj,

Management Review is the mechanism of review of quality aspects of the QMS by top management and the standard has explicit mention of the agenda inputs that needs to be covered in the MRM.

However the standard does not specify about the frequency thats why the term "Planned interval" is used. Be it quarterly or annually , if the requirements of the standard is satisfied then there should not be any implications IMO.

Say for example a very important management review input is the "Changes that could affect the QMS" , this point covers the strategic management decisions and do not come too often.

Pl.show us the list of your MRM Agenda. Except internal audit results you can not possibly omit other topics of MRM inputs as required in the standard. It also depends on what you have specified in your MRM procedure.Is your system ISO 9001 OR TS 16949?.

It is commendable that you are carrying out management reviews quarterly. I would suggest that over the course of a year you will need to have covered all the compulsory elements from the standard:

Management Review Input
follow-up actions from previous management reviews
results of audits
customer feedback
process performance and product conformity
status of preventive and corrective actions
changes that could affect the quality management system
recommendations for improvement
Management Review Output
improvement of product related to customer requirements
improvement of the effectiveness of the quality management system and its processes
resource requirements

If these are covered quarterly then amend your procedure accordingly.

1. What i have understood from you is that the all agenda inputs as per ISO need to be covered during a MR meeting. However, we can exclude some agenda items such as 'Results of audits' if no audit has been conducted during the period during which the [Quarterly] MR meeting was held. Please confirm

2. Can we use the terms 'Planned interval' in our documented procedure instead of specifying that management review will be done on a quarterly basis? Will it not an issue if for example in one year we conduct 4 MRM and other year we conducted 2 MRM and following year only one MRM in case we use the term 'Planned Interval'

3. Please advise whether we should specify the agenda items which will be discussed during a MRM in the documented procedure?

What happens last year we have removed all the agenda items in the documented Management Review procedure and during our quartely MRM we addressed part of agenda inputs in subsequent quarterly MRM.

However, no complaints and corrective actions reporting were tabulated during any quarterly MRM. But follow up of corrective actions are being done on a monthly basis with relevant HoDs and monthly reporting status on complaints and corrective actions are sent to Managing Director for info. Does non coverage of corrective actions and complaints in MRM is a Non-conformance as per ISO requirement or as per external Auditors' point of view? If yes, what has to be done?

If no, please provide valid reason?

Donot tie your hands in fixing difficult frequencies for MRM.I know some super efficient companies have monthly MRMs.There is no harm.But donot make it a rule in your manual.

Dear why are you not reviewing the whole agenda? are your & your management too busy? or your organizing big enough? or there is any specific reasons? Just curious!:confused:
