SAMPLE COMPANY Page 1 of 4 SOP # 18-4 Revision: 0 Prepared by: _ Effective Date: Approved by: _ Title: WORKPLACE RULES AND GUIDELINES Purpose: To provide miscellaneous policies and procedures relative to personnel matters and the workplace. Scope: Applies to all employees Policies and Procedures: Alcohol and Drugs: Reporting to work or working under the influence of alcohol or a controlled substance without a medical prescription is strictly prohibited. Any employee with a problem relating to either alcohol or drug abuse is encourage to contact Personnel to discuss counseling or other treatment. Breaks and Lunch Time: The company provides two 15 minute rest breaks each day, one in the morning and one in the afternoon and an unpaid one hour lunch period. Break times will be established by the department manager or company management. The purpose of breaks are to provide a needed rest during work periods, as such, breaks may not be accumulated to reduce working hours or to provide time off for personal business. Company Property: Employees are expected to exercise care in use of company property and to use such property only for authorized purposes. Unauthorized personal use or removal of company property from the premises is prohibited. Company property issued to an employee must be returned at the time of resignation or termination. The value of any property issued and not returned may be deducted from an employee's paycheck or billed to the employee. WORKPLACE RULES AND GUIDELINES Page 2 of 4 Dress Code: Employees are expected to use their good judgement and common sense in presenting themselves as "appropriate" for their positions. Clothing, hairstyles or personal hygiene should not pose a safety hazard or create an unacceptable appearance. Grievances and Complaints: Employees with concerns or complaints regarding company policies or operations should discuss them with their supervisor. If the employee feels their concern or complaint is unanswered or unresolved by their supervisor, the employee may request that they meet with higher management in the company. Grievances between fellow employees should not interfere with their work. Employees are expected to try and work out any problems between themselves first. If they are unsuccessful, one or both should then discuss the problem with their supervisor. Inclement Weather: It is the company's policy to continue operations despite inclement weather unless the conditions threaten to make employee transportation to or from work impossible or dangerous. Supervisors will be responsible for notifying all employees that report directly to them if the office will be closed. The following guidelines will be used for inclement weather: o If the office is open for business, employees who do not report to work will not be paid. o If the company declares the office closed prior to commencement of work schedules, all employees will be paid for that day. o If the office opens and then is forced to close early because of weather, all employees who reported for work will be paid for that day. Employees who miss work time due to weather can use their Paid Time Off benefits or may request to make up time later in the day or week. WORKPLACE RULES AND GUIDELINES Page 3 of 4 Parking: Parking facilities are provided on company property for the convenience of employees. However, the company assumes no responsibility for damages to or losses of automobiles or other personal property. Parking spaces are available on a first-come, first served basis and may not be reserved. Personal Telephone Calls: The company recognizes that there may occasionally be times when personal calls must be made or received during business hours. Such calls, must be held to a minimum, however, and must not interfere with the employee's work. Long "chatty" type telephone conversations on unimportant matters are prohibited during working hours. Employees should make such calls during their breaks or at lunch time. Except for emergencies, personal outgoing long-distance calls are prohibited. Sexual Harassment: It is the intent of the company to provide its employees with a work environment free from harassment. Sexual harassment is defined as: o Unwelcome physical contact. o Sexually explicit language, gestures or materials. o Uninvited or unwanted sexual advances. Sexual harassment can come from superiors, fellow employees, customers or vendors. Men as well as women can be victims of sexual harassment. Employees should first request that the offender stop whatever behavior they find offensive or otherwise sexually harassing. If the situation does not change, the employee should notify their supervisor or upper management as appropriate for investigation and resolution. WORKPLACE RULES AND GUIDELINES Page 4 of 4 Smoking: Since smoking is a fire hazard and is regarded as a poor health habit that can adversely affect other non-smoking employees, the company prohibits smoking in the building. Smoking is permitted, however, during breaks and lunch times in designated areas outside of the building. Solicitations: Solicitations on the premises are prohibited since they are disruptive and they can place an undue financial burden and be embarrassing to employees who can not or do not wish to contribute. The exception to this can be for employees for limited special occasions (i.e., retirements, weddings, births, etc.). Suggestions: Employees are strongly encouraged to share their constructive and valuable suggestions, ideas or thoughts with their fellow employees and the company. Employees may submit to their supervisors or officers of the company, suggestions for the improvement of company operations or procedures, marketing or product ideas, areas for quality improvement, etc. Suggestions may be signed or anonymous. Employees may use the company's Suggestion Form and submit them in the company mailboxes or in person. Visitors: In order to avoid disruptions and possible security problems, all visitors must identify themselves to the receptionist and be escorted by an employee. No visitor including former employees is allowed to wander about the premises unescorted. Visits by personal friends or family to work areas is discouraged and they should be kept to break or reception areas. No visitor is allowed to break rules affecting safety.
