AS9100 Document Management (Advice Needed)

Hello everyone.

I am new to the AS9100 Standard and would like to learn more about it to better serve my employer. Currently working alongside another colleague who is preparing to retire within a year or two, for me to take her place. I would like to upgrade our current system and help minimise mistakes, overdue document reviews, etc...

I am trying to take control of our documents at the moment. It is completely set up as a manual process.

  • Update this spreadsheet
  • Update that spreadsheet
  • Print it
  • Replace in the filing cabinet
  • And repeated for each document change

I was wondering how others are controlling their documents as far as software being used to help make it easier for the following:

  • Document sharing and reviewing with managers and team captains
  • Approvals via email or another system?
  • Issue Numbers
  • Version tracking
  • Revisions
  • Etc...

What platforms exist that help control activities such as this within a Quality System?

Extras would be nice

  • Audits
  • Risks
  • Calibrations and Services
  • Competency and Training
  • Etc...

I would appreciate some advice here and how to best approach this?

There are document control systems. SharePoint is one I have seen.

Another option is making adding links to each doc on your spreadsheet. Add a column for last review date and review them all.

Another option is to remove all docs and have them re-released one at a time as needed.

Just a few brute force methods.

It depends on your internal set-up but I suggest trying out a Office365 subscription which provides Sharepoint online and also various other collaboration and distribution tools.

I'll echo the previous comments about Sharepoint. Prior to this system, we had 13 different quality systems (at each of our plant locations) and there was no "common" thread. Now we have revision history, signoff/approval of documents, and centralization of documented information (with a built in reminder when those documents need to be made obsolete). Plus, unlike some stand-alone systems, our file system is still just a bunch of MS explorer folders.

Thank you for all of the responses guys. Some things to think about.

I have started looking into Sharepoint as one of our Auditors showed some document control features that I like. Just a matter of getting everyone on board and wanting to move forward.

I have also looked into using G-Suite by Google, which has some good features as well.

Sharepoint might be the best route to take though.

Anyway, at least I know where I should be looking now. Much appreciated for the feedback.
