Communication with external interested parties

Good morning from northern Germany,

I have a small question to new 14001 standard.

How do you document your communication with interested external parties?

We have several people doing this (but also not everybody is allowed to do this). We actually think about an email notice to our EMS manager. He can collect them all for the internal review and external audits.
The question arising is, how will we demonstrate to our external auditor that the procedure is working well?

What is your opinion about that topic?

We have done like this:-
1) List all topics for external communication in EMS
2) Define who are all responsible for communicating
3) Mark copy of every communication to EMR
Document this in procedure.
During audit, the list of communication can be collected from EMR and the same can be verified at the source (of responsible persons for communication)
