Question What to look for in a Vendor (Supplier) Evaluation for AVL

What are you guys looking for when during an evaluation on vendors to be added to the AVL list? We have an evaluation form which ask about 5 or 6 questions, one being is to supply their quality manual. Doesn't seem to me that we are asking the right questions? What reasons do you not approve them? All replies are welcomed. Thank you.

Re: What to look for in a Vendor (Supplier) Evaluation for AVL

The simple answer is, it depends! Depending on the risk/impact the goods and services provided. Higher risk more control, lower risk less control. So getting a quality manual is a good start. I would also ask for a copy of their ISO certification (if they have one). Depending on the risk, a site audit may be required. Other items to review may be calibration, validation, and inspection activities.

The business unit may also want to review financial information and stability (not necessarily quality related).

Keep the form aside.
List out what you wish your supplier to have in order to become your trusted supplier. See this from quality, capacity, technical strength, commercial status, legal status, financial strength, costing, nearness, reliability based on his customer base ..... many more as you desire.
Then list out how you are going to assess him with your parts.
When you have answers that looks good for you, you are close to completing evaluation

Re: What to look for in a Vendor (Supplier) Evaluation for AVL

The questions we ask are:
Does the vendor have a written Quality System manual (Y/N)?
If so, please attach a COPY & SKIP questions 2,3 & 4.

Please describe
2.) Describe the sort of record retention system your company uses.
3.) How does your company ensure quality and uniformity of products/services offered?
4.) What controls are in place for the handling, marking, traceability and protection of incoming materials or products?
Please Describe.

1a.) What standard(s) is your quality management system certified to? Please specify & attach a valid COPY of the certificate(s).
1.) Quality manual:
1a.) Manual issue date & revision number:
1b.) Evidence the manual is followed:
1c.) Evidence the manual issue is controlled:
1d.) Evidence the manual is regularly reviewed:
1e.) Is the manual approved by managment?
1f.) Are systems in place to identify trends adverse to quality and to take corrective action?
2.) Vendor with no quality management system:
2a.) What evidence do they have to support control of their products/service?

You should put in place an activity/process for this that also include what you have proposed ( documental aspects) but other iitem should be added as expert cover said.
You can also think about an audit on their premises.

Re: What to look for in a Vendor (Supplier) Evaluation for AVL

I have to remove a vendor from our AVL. What steps should I take? The supplier has poor communication, late deliveries, partial orders, etc. This is a gasket provider. Is this just a letter of removal based on the problems we have experienced.

Re: What to look for in a Vendor (Supplier) Evaluation for AVL

I would put a memo in the supplier file, however I would probably not waste my time communicating the removal to the supplier. The lack of PO's will send the message.

Does anyone have a template of what the memo should state?
