Does Anyone utilize MS Outlook Read Receipts

as records? Scenario: a minor revision(s) to an SOP in which mostly remote co-workers involved need to know about the revision, but re-training is not required.

An Outlook delivery receipt confirms delivery - but - not that the recipient has read or seen the message. A read receipt confirms that the message was opened (assumed read?), - but - recipients can decline to send read receipts.

I use them for sending Purchase Order T's and C's to our suppliers.

I don't use them. Used to, previous century, but they proved of little value.

I can't speak for current version, but back then there were methods to read the email without triggering the receipt. Nowadays you get to choose whether or not to send it.

You require a training record? In your email, ask that they read the revised document (insert the revision language in the body of your email to spoon feed it to the feeble) and require that they respond to your email as a training record.

Don't even get me started on people who don't read all their emails, or those who don't finish an email if it's too long for their attention span. :mad:

FWIW, about 10% of the emails I get are Delivery Receipt Requested.

A window pops up with "The sender has requested..."
With the options of "OK" and "Cancel", I click "Cancel" 100% of the time.

Request receipt with every message is an option checkbox on Outlook setup.
Some use it always, some never...I haven't seen anyone use it selectively.

If you want to be sure I got the information...call me or show up.
In my world, you are emailing me instead of calling because the information really isn't that urgent.

If a coworker requests a receipt, I ask them to stop. It's annoying.

I used to use 'read receipts' as evidence of document distribution and 'training' but a few companies ago, I started using voting buttons - now it is a deliberate choice by the recipient to acknowledge that:
(vote yes): They have received, read and understood the document, and are prepared to comply with its requirements
(vote no): They have received and read the document, but do not understand it or require additional training to fully comply
(vote N/A): The document does not pertain to them (this is only used if you mass distribute ALL updated documents to ALL employees with email).

I would keep a mail folder in Outlook, with a separate subfolder for each document revision, and store the original outgoing message there, along with a copy of all the response. This, tied in to an Excel spreadsheet, allowed me to quickly determine and demonstrate the status of any document updates.

When having the evidences in your computer, you have to comply with protection 4.2.4 Iso 9001 2008, how do you recover them in case of loss or deterioration?.
Normally it is recommended to save such records on a server which is backed up regularly.
unless you do a safe backup on your computer.

I selectively choose the option when I send out our T's & C's. The e-mail has all of the addresses in the "bcc" field. If I don't get a read receipt, yes, I follow up with a call. It's a lot of work if a lot of suppliers 'hit cancel'. It takes their time and mine when I call to ask if they got a document and follow up with an e-mail acknowledging our conversation. And logging it in our ASL.

I wish my customers would do that instead of insisting I visit their portal and update my password and compare the T's & C's to the ones I have on file.

I guess that's just me.

It's very annoying to get emails that request the read receipt. I moved away from Outlook a while back for that reason and now use gmail, having my business email forwarding to it and sending mail as from my business. I use streak, which is a free chrome addon, and it shows when someone has opened the email. It's unobtrusive and they aren't aware of it. There is other email software that will also let you know not only when it's opened, but also when it's been read and if any links in it were clicked.

It may not be an option if you're using outlook because of the contacts stored.

My experience is the same as Ron Rompera.

Using the voting buttons requires a conscious action to confirm that it has been read or not and if additional training is required to support.
