Does anyone have a sample of their policy they can share, so I can see what type of thing is expected

Document retention is typically defined in a company's document control procedure. I haven't seen it done in the form of a policy per se so I can't help, but maybe someone else here has.

As Marc said, the Document Retention requirements are typically covered in the Control of Records procedure and supported by a detailed table describing the retention period, where stored, and disposal method, for each type of record.

As Marc and Ajit mentioned that is determined by your organization. Just a rule of thumb:

Aerospace Products - I think that is a minimum of 25 years
Automotive - Probably close to Aerospace Products
Medical - I have no idea
Commercial - 5-10 years

Put the catch all phrase like: "Unless otherwise specified by Contract/Purchase Order"

Just my opinion on a rule of thumb.

Records retention period will come from customer, statutory and regulatory requirements.

If no such requirement is defined by them, your organization can define the retention period of the record.
