You're posting this request in more than one forum and under a thread topic in one that doesn't relate... that just confuses the issue and makes extra work for moderators.

I have a few questions. I hope I’m in the right area.
We are in the process of becoming certified to AS9100. We of course have a few non-conformities. The main NC was that our documentation is mixed with different levels documentation. So now I’m tasked with fixing our Quality Manual. The approach I’m taking is the standard on one side, our current manual on the other and addressing each of the requirements of the standard. An issue I came across was what is the difference between a procedure and a process? 4.2.3 States “a documented procedure shall be established to define controls needed…” which is fine, I wrote one. But then in section 7.4.1 “purchasing process: the organization shall ensure that purchased product conforms to specified purchased requirements.” Are processes allowed to be in the manual, or should they be in with the procedures?

To start off, we need to know if this NC for documentation was valid. From what you've written, it looks like an opinion, so if we could have the exact content and the requirement that it was written against. We don't want you to be fixing something that it was only an auditor's opinion about, if it works for your organization.

The content and style of your manual is yours. If you want to add procedures and processes in there, mix 'em up! Don't worry about making it what the auditor wants - they are supposed to be able to be flexible and open to different formats!

Typically a procedure is written (only), and processes may be in the form of a diagram (flow chart, process map). Procedures (in my view) don't always have inputs/outputs, or measurements applied to them and may be used to document controls of a process. A process should always have input(s) and output(s) and be measurable. BTW a Quality manual doesn't have to 'address' all the requirements of the standard, the system does......

The write-ups were against section 4. The auditor was able to verify mostly everything during the walkthrough, but what we physically do wasn’t reflected in the manual and other documentation. That’s why is said, I have the standard on one side, our current manual other and writing down what we actually do.
For example, we have a process for how we review and enter a PO. During the audit, the person being audited could provide everything the auditor asked for. But when he asked “is this written procedure for what you just explained?” we had to answer no. That’s just one example of the type of issues the auditor had.

Oh dear! A written procedure is not a requirement for purchasing in AS 91000 (as far as I'm aware)! It seems to me that your auditor is living in the past! Now, if there's a description of the 'sequence and interaction' of processes and the purchasing one isn't in there, that's another issue. I fear your auditor is asking for things they shouldn't!

What else did they ask you for?

Well, If I was a newbie to this site, I would have shrugged my shoulders and left. The person didn't need to be quizzed on his/her qualifications, obviously.

Answer: There are websites out there that have information on the standard requirements and what each section should address in your manual. Some good sites are AQE Services, ISO Manual, etc.

Check out these and other sites by typing in ISO Manual in the search box and also review the standard requirements so that you have a feel for what needs to be in the manual before you can even begin.
