Brand Name or Legal Entity name - Which name can I use on Quality Documentation

I have a query with regard to use of brand name and legal entity name

Brand Name – “ARG Group”

Group includes
“Arland Rigor Gir Limited” - UK (has been certified to ISO 9001)
“Arland Rigor Gir ink” – USA (Not certified)
“Arland Rigor Gir Limited – Handling division – UK (Not Certified)
+ offices all over the world (Not Certified)

Can we use the Brand name on all our quality documentation or should I ensure only the Legal entity name (“Arland Rigor Gir Limited” ) is used.

The same issue with Logo. We have two logo - one is just ARG and the other is ARG Group.

Any help is much appreciated.

The QMS documentation that you generate for your internal use has nothing to do with name. You need not use or use what you wish to. However those that are sent out of the organization must relate to the name of the organization to which the ISO Certificate is issued.

Of course, the "must" is only if you are referring in any manner or form to the ISO certificate. If not, nobody cares what corporate logo (if any) you put on quality documents, as long as the documents refer to that specific legal entity regardless of where they are sent. The important thing here is not to give the appearance your organization is trying to wrap non-registered units under the aegis of the ISO registration.

Why not to use
“Arland Rigor Gir Limited, an ARG Group company" on every document to erase the confusion, if any. Similarly the other group companies can also use their unit's name along with the group title when they too get certified.

Same for the logo, 'ARG Group' seems to be better suited. You can also ask your corporate why they maintain two different logos. I presume your corporate must be using the 'ARG' logo only.

Brand names come and go...
Please use Legal Entity name and make sure that it matching names on Registrations and Certificates (such as CE, ISO, CFG, CFS, etc) to avoid problems with the customs when you try to move your product to other Regions...

Brand names come and go...
One thing I'm still not sure about is the 'Brand Name'. What OP mentioned as a 'Brand Name' is more like a Group Title while the term 'Brand Name' is generally used to refer to the product identity that may undergo frequent change.

Generally, the name of the organization appearing in the QMS documents should tally with the name you want to appear in the ISO 9001 certificate.

You can have a section in the QMS manual to introduce your organization and this is where you can include the 'verbiage' about the related companies and other details (such as tying-in the relationship between brand name and entity name).

How about marketing documents, can it say ARG Group and also have the crown and tick logo.

My understanding is that we can use the crown and tick logo only for the scope it has been registered to. When other offices are not certified and if their scope is different, I don't think we should be using it along with the name or logo ARG Group. By doing so aren't we giving misleading information that our entire group is certified to ISO 9001. Please comment.

What are the consequences of using the crown and tick logo incorrectly.

Let us for a while keep all this brand and legal words aside. You know the name of the company that has been issued with the ISO certificate. Now on the marketing documents where this company name is existing and valid, you can use the certifying body logo along with the standard to which this company is certified. Your certification body must have given you the 'use of mark' document, after your registration, which guides you how to do this. I suggest that you do not get innovative on this and put your own statements and other logo's and invite complications in future. Please consult with your certification body about this 'How to use mark' and comply with guidelines. Good luck.
