Calibration Overdue on Customer-owned Gauges

We are an automotive machine shop registered to ISO 9001:2008. We have various customer-owned gages that we monitor on a database with applicable information. The database tells us when the gages are due for calibration whereby the Quality department contacts the customer. The gages are then delivered to our customer for calibration.

The issue we are having is that the Customer had a "slow period" whereby their company had layoffs but their gages have been due since April 2012. We have a 3rd party surveillance audit coming up soon. What do we need to show the auditor as evidence so that we do not receive a nonconformance?

regards,
Kiddo

Did you ever evaluate this risk?
I think that the ncn can exist, the fact that the Customer has problem does not free up you to assure the conformity, otherwise you cannot assure the integrity of the system.
You could ask for waiver from your customer to avoid the ncn, taking into account how these gauges are critical for you.
The risk is that you are shipping non conforming product.
Probably need more details on gauges to give you more effective advice.
Hope this helps:bigwave:

If they are overdue, the only "out" is either a "calibration not required - reference only" sticker (and not use them for any measurements that result in acceptance/rejection), or remove the gauges from service. The standard is clear.

Such a quick response! Thank you!

There are various plug gauges, ring gauges, true position gauges, etc.
Understood.
How much are these gauges critical?
Is there any risk that you are not assuring valid measurement on the product give that their calibration has expired?
Are these gauges unique or do you have alternative?
My advice is to ask for a waiver from your customer to enlarge the range of calibration also depending on the usage of these gauges ( you should do a risk assessment) or ask for a waiver to your customer to send these gauges to an external lab ( recognized by external body) and have them paid from them.:bigwave:

I don't see in the thread above that you are actually still using these gages...are you?
If so, the NC already exists and they should be removed from service.
If not, they should still be removed from service.

Either way, you could get either a calibration extension from your customer (extending the calibration period based on historical justification) or a waiver from the customer before using them.

Note that a waiver is essentially your customer saying "we don't care if your measurements are accurate" to some degree. An extension of calibration period makes a bit more sense to me.

If the gages belong to the customer, and the customer is responsible for recalibration, then it's your customer who has to stay on the hook for the gages being usable...don't jump on the hook yourself.

Another thing I don't see referenced above, but I have assumed, is that you do not use Customer A's gages for Customer B's parts...if you do, I would recommend sending the gages out for recal on your own dime.
