Why is a procedure needed?

Do your customers have a means to alert you when a drawing or specification changes? That would be their procedure, not yours, but you would need a responsible person to respond to them.

But sometimes things go wrong and the customer's process fails. Do you have a process for reviewing requirements before starting an order? During an audit I once found a supplier was using a material specification that was three revisions out of date. Yikes! The best piece of advice I could give them was to look on the purchase order for the part revision number, which I hope is provided to you on your POs, and make sure what is being built or batched is done so as per the correct revision. If you were not provided with the latest revision, you would need to ask for one and review it before starting work. That would be a process that I would not say needs a procedure unless your people need guidance and a clear outline of authority and responsibility.

If this in the automotive arena, most if not all OEMs have a Supplier Quality Dashboard Application (or similar), that serves as the main conduit for a suppliers part status re: PPAP milestones,production readiness milestones, specification changes etc., my guess is that this is where an updated CSR can be found...or failing that via the OEM Buyer/Purchasing Agent, in either case this change or notice of change must be perfunctory or automatic, allowing for easy access by Tier 1 suppliers...
