Client Request for Reference Equipment Calibration Certificate

Hi all,

if I am using my reference A to do a calibration for my client, after the work, they requested for my reference A calibration certificate. they want me to send them in soft & hard copy.

Am I suppose to give them a copy? I don't feel comfortable to give it to them. is my reference calibration cert consider confidential and not allow to show it to others?

since I am an accredited lab, every year there will be an audit on my company and the auditor will check my references.

any advise?

ISO 17025 clause 4.7.1 state that: "The laboratory shall be willing to cooperate with customers."

clause 4.7.2 "The laboratory shall seek feedback, both positive and negative, from its customers.
NOTE Examples of the types of feedback include view of test or calibration reports with customers."

So it is strongly advisable but not mandatory to provide them with the calibration certificate.

the certificate could be considered as a confidential document and you may refuse to submit it to customer. however, as a laboratory you should submit an evidence of traceability (Clause 5.10.4.1.c).

this all goes to the terms of the contract. is there a clause cover customer audit? i would advise that you add it in the contract

If you want to avoid misunderstanding, you could let the customer review the certificate in the lab without copying it or sending it outside.

As an ISO 17025 Accredited Calibration Lab - we get this request on a regular basis. It evolved from the 1990's request for NIST Numbers to be listed on the issued Calibration Certificate for the Calibration Standards that we used. Over the course of a decade, we managed to educate a good number of our customers to the fact that the NIST Number does not necessarily indicate traceability to the SI (as discussed in NIST's Policy on Traceability) and they would be better off getting an the actual certificate for the Standard that we used.

Besides - in the end - I would rather supply them with the Calibration Standard's certificate in the mail along with the certificates for their equipment and our ISO 17025 Cert/Scope than have to host each customer onsite for a full blown audit.

As an accredited Lab - there really is no reason not to provide the information.

I agree with Gmzita. I cannot conceive of a reason that you would not wish to provide a copy of your certification of your standard, or why you would consider that document to be proprietary.

As an end customer, the requirement that -=I=- need to fulfill is to demonstrate that the calibration of my instruments/equipment is traceable to an approved national (and therefor international) standard.
