Computer Systems Policy Statement
The computer systems, software and data used at any XXX site are the property and asset of The Company. As such, every effort must be made to ensure these assets are protected from unauthorized use. Unauthorized copying, attempts to gain access to restricted information, sharing of passwords, or any tampering with the equipment is strictly prohibited and in some cases, illegal, and may result in disciplinary action, dismissal, and possible criminal charges.
Specifically:
1) The XXX site licenses the use of computer software from a variety of outside companies. The XX site does not own this software or its related documentation and, unless authorized by the software firm, does not have the right to reproduce it. Under Canadian Copyright Law, persons involved in the illegal reproduction of software can be subject to civil damages and criminal penalties.
2) Any loading of software not obtained through authorized distribution channels and not approved by the Computer Systems Department is strictly prohibited.
3) Users are granted authorization to specific programs and specific data areas. Any attempt to access unauthorized data is considered tampering and will be subject to disciplinary action.
4) Passwords are confidential and must be secured and maintained at all times. They should be changed on a regular basis. Any sharing, copying, or attempts to access the system with someone else’s user ID is strictly forbidden and subject to disciplinary action.
5) The Company’s Electronic Mail System (E-Mail) is to be used for legitimate business use only. Mail may be intercepted if there are concerns that it is being misused, or being used to distribute inappropriate material. Abuse of the system is subject to disciplinary action.
6) The use of the Internet is for legitimate business purposes only. Any material acquired through the Internet must be screened for viruses. Inappropriate or illegal use of the Internet is not condoned by XXX and will result in disciplinary action or criminal charges.
