Control of Electronically Stored Documents

I'm new to the forum, so forgive me if this subject has been discussed before. With our upgrade to ISO 9001:2000 we intend to use our intranet for the Quality Manual and Quality procedures using Microsoft Word and Excell. I have two questions:

1. How do we handle approvals and keep our registrar happy?

2. How do we best handle revisions?

I just changed our approval process to all digital. I send the documents to the approving party via e-mail and ask that they review the document and then fill in their section of the approval form and send both the approval form and the document back to me as attachments. I then save this in a "Doc. Cnage History" directory as an Outlook .msg file which will then include the attachments, time stamp, and text approval in body of the e-mail.

Anyway back to your question. We are setting up just such a system as you suggest. The QM (me) is acting as the gatekeeper to the intranet. All documents must come to me then I pass them on to our IT manager who places them on the net. I keep any draft copies, and maintain the revision log. We haven't been audited yet, but our consultant assures me this should be fine. (our consultant is our web host, Marc Smith)

Too Lazy to Copy A Bunch of Links Tonight

I'm going to be lazy and not cite a lot of threads, but do a search here in the forums. I just did and came up with one heck of a lot of hits.

Use the keyword APPROVAL and make sure the search is set for searching entire threads (not just the titles unless you get so many hits that you have to narrow the search). I search ALL forums, not just the Document and Forms forum.

As a tip, I ask for the results in posts, rather than threads (there's a checkbox if you look).

I manage 2 facilities for DocControl. I use Outlook task for the signature cycle. Each person needing to review the doc are sent the file in task. When done reviewing it they "complete" the task. I save all the completed tasks on our server in a *.pst file. (this is a stand alone file) Master electronic copies are also saved on the server. We been audited several times and all is find with them.
