Hi friends, do we need to put a controlled copy stamp on our documents to differentiate between iso documents and non iso documents?

You need to classify documents as controlled and uncontrolled.

A controlled document can be updated, amended, reviewed and approved prior to issuance and distribution to intended users or copyholders. Uncontrolled document is a copy of document distributed to whomever upon request for specific purpose (training., audit, etc). There are a lot of ways to distinguish controlled and uncontrolled e.g. stamping. If stamping works for you, so be it.

Because of our company now having a colour photocopier we have moved away from stamps or "if printed in red then a controlled document" to a sticker which states the controlled document AND it's copy number. These copies are controlled and distributed through a central electronic database. if a document is updated we then know where to find the old issue documents and who to update with the new one.

No - not unless it specifically says so in your 'ISO' document control procedure....

Sure, if it says so in their procedures, but not otherwise. It's not necessary to 'classify' documents at all....
I think the appropriate term is 'distinguished'. Thank you for the correction, Andy.

Another option to get past color copiers is to use an embosser - similar to a notary embosser.

In one organziation that I worked earlier, the controlled copies were printed on colored paper which had a small company logo and a watermark as "Controlled Copy"

Please review Clause 4.2.3 of ISO 9001:2008. Unless I am going blind, there is no specific (black on white) requirement to identify what documents are controlled and what are not. The only identification requirements apply to the changes & revision (4.2.3.c), to the document itself as to what the document is (4.2.3.e), to documents of external origin that are controlled (4.2.3.f) and to retained obsolete documents (4.2.3.g). So, to echo the other posters, you do not have to identify the documents as controlled or not unless it says so in your procedure. If the procedure says so then why does it say so?!?
