Creating a Micro QMS - 4 geographical sites and 3 types of core activities

The scope of our current QMS covers 4 geographical sites and 3 types of core activity, Warehousing and Logistics, Customer Service and the Support Service. This is a well established QMS and we are only weeks away from our 2008 seal of approval.

However, we are setting up a totally new operational process, as an outsourced supplier for one of our own manufacturing plants and this will come into our scope of registration.

My feeling that this new operation/process is so critical to our division of the company it should have it's own micro QMS within the main QMS and not just work instructions etc. It is entirely different to anything we currently do.

We will be re-packing product for dispatch to the customer, although we do this on a very small scale already this is quite a major operation.

I want to be able to show everything from the verification of received goods, inspection of product prior to packing to any outbound audits and MAI.

Has anyone got any ideas on how I should go about this, bearing in mind that this part of the operation will be included in our own Management Review and will be very much part of the overall scorecard.

Not sure why you'd need a separate QMS (micro or otherwise). Perhaps the some of the following possible new documents would help to integrate the new process into your current QMS:

  • A turtle diagram of the new process
  • procedures for dispatching and receiving the product from your new supplier, including any special packaging, inspections, etc.
  • conditions that your supplier must meet, including their scope, schedule, terms, documentation and QA requirements, etc.
  • modification to your existing documents affected by the new process, i.e., SOPs for production, purchasing, shipping, etc.
  • position descriptions
  • key performance indicators for the new process
You may also need to train or retrain some of your personnel.

As you say there is no need for a seperate QMS but I wanted to know what additional documentation relating to the new process I would need to fit in to the existing one. :agree:

As for the training aspect they are all new temporary staff so the training will be key. None of the process is really akin to anything we currently do.
