5.7.1 The department/individual concerned must identify the retention for each record used. Once defined, the records must be retained only on the duration identified.---> meaning they should define it? should this definition be written in a document or not necessarily?

There is a forum here dedicated to records requirements. I moved this thread to that forum.

I did a quick search using 'record retention' and limited the search to thread titles. I came up with several which discuss this, including:
http://Elsmar.com/Forums/showthread.php?t=3128 and
http://Elsmar.com/Forums/showthread.php?t=6939

It really doesn't matter where you define retention time as long as you do define a minimum retention period. Some put it right on each record such as in the footer. Others have a 'Master' records listing where they define it.

You have to, as a minimum, keep the record for the defined period. You can keep records longer than stated. But - In TS 16949 it is a bit different in that they are more strict about citing a disposal/destruction method and the expectation is that when the record reaches its 'end of life' that it is disposed of appropriately.

Hullo Kitty,

Um... 5.7.1? Are we reading the same std? I'll assume we're talking about 4.2.4 and carry on from there, ok?

Anyway, the retention period for each document should be what you need (Of course, legislation will sometimes have to be considered too..) We have been turning this subject inside out on several occasions. The following threads may be of use to you:

Identification of Quality Records (9K:2K - 4.2.4) - How?
Forms have no linkage to procedures or instructions - How to address?

Trigger Point - Determining When We Can Dispose of Quality Records
Control of Records Definition - Controls needed and the 'disposition' of records
Defining Record Retention Times - Is 5 years long enough?
Quality Records - How long do you keep inspection records and why?
Disposition of Records

Added later: Aha... Hello Marc. :bigwave: You beat me to it by a mere minute...

Don't worry, you'll get the hang of it. Besides, being young is something most of us have been plagued by at some period of our lives. It will go away eventually...
