Hi Covers
how are you doing ? :D hope doing well.
I´ve got a question:
I`ve got to estimate our reel amount of documentation to establish our need in DMS (softoware of doc control). my worry is how can i be sure that i won´t forget something :
to give picture, some of our doc are managed through softwares which take it from first elaboration to become a record, but the archive option aren´t supported by these software. some are on hand copy and i don´t see the need to change them on electronic form since it is well located and controlled.i´m also thinking to favorite web-based application against an open source or classical soft.
How to establish a reel need :bonk:and have an idea of our future need. I want to get advice and tips from experienced Covers ;)

Dear Sel,

A few comments:

1)
You say that you've got to estimate the amount of documentation, but that you worry about missing something. If all you need is an estimate of the real amount of documentation, it shouldn't really matter if you miss a document or two when taking stock of what you currently have on your different systems. You can complete the list as you start using it in your new software.

2)
You ask how to establish a real need and have an idea of future need. I think you are talking about the need for Document Management Software. If so, by the fact that you do not have already an inventory of documentation and that you are afraid of missing some of the documentation, the need is established.

3)
Start by compiling the inventory of documents (list of documents). You will need this whatever software you select.

4)
Look into using a wiki for your DMS. If your list is on the wiki, just draw brackets around each entry to create a page for each doc and have it become the index to all of them, then upload up your existing docs, or better, copy and paste them onto wiki format.

does this wiki just software or is it possible to have it as web-based ?
i´ve liked lot the functionalities as include and links and quick access

It is web based. Authorized users can accesses it from anywhere around the world.

And yes, the linking is fantastic. For example, our SOP: Purchasing is linked to the SOP: Material requisition, the SOP: Material reception, our standard PO Terms and Conditions, our standard subcontract form, and other various forms and records that it needs or produces. But the best part is that all the links are contextual: right at the point where the other document is named in the procedure.
