Doing a "yearly" mass calibration of gages over the weekend. Any advice?

I started working in a shop that does a yearly calibration of all gages on the shop floor. I'm having all employees turn in the gages with a tag that identifies the location of the gage or the person who was issued the gage. I'm tagging the gages that I calibrate and I plan on doing an audit after this weekend to see if any gages slipped through the cracks. If anyone has had experience doing this mass yearly calibration and has any advice about doing thing better or areas where I might have problems, I would appreciate it.

First, I would submit that you seem to have a more formalized, structured system that I have here. Nicely done. :agree1:

The only thing I didn't catch in your system is a unique identifier on the gauges. I would think you would want some kind of ID# (unless all serial numbers are unique) to match the gauge with the documentation.
If..
1. You can demonstrate the calibration data/ information for any gauge in the area,
2. You have control over gauges past due/ not calibrated (these aren't mixed in with the current calibrated ones),
3. You have sufficient control over the tampering/adjustment,

I think you have a decent system in place. :)

Excellent observation! The gages I’ve run into are currently etched with a gage ID, but I will double check when I calibrate. Our current system works, but customers are pushing us to have a more structured/formalized calibration system. I have to admit, when we get audited, they kind of look down on our six column ledger and files. We recently bought a gage calibration tracking software program. I’m going to begin implementing it next week. It will also fulfill our continuous improvement requirement. Wish me luck!

The next plan should be to stagger such an undertaking and spread it across a calendar. You'll probably find that some equipment doesn't need annual calibration, some, more frequent recall. Doing everything this way is really burdensome and maybe doesn't look into the data from past calibrations.

Excellent advice! I'm doing a mass calibration now because nothing has been calibrated in over a year. I'm going to calibrated micometers/calipers and other gages every six months. Other gages I'm going to do on a yearly basis. Believe me, I don't want to go through this again. I also purchased a software program that will allow me to group items a little better--by department and employee. I will calibrate the inspection gages in 160 days. The CNC Department's gages in 170 days, etc... This should prevent everything from requiring calibration all at once.
