Electronic forms QMS

#1
Hello All,

I did a lot of searches through the forum but couldn't get the answer I am looking for, so here is my first post.
I am looking for what I will call an Electronic forms QMS, I'll explain in more details.

Most eQMS are paperless and provide an electronic repository of documents which have been created by different sources (Word, Excel, PDF...) which then get tracked during for their lifetime...
In my last company, during that document creation phase, a lot of procastination sometime occured depending on people as either the templates were not up to scratch or them going over and over documents for fomatting issues for a while with a touch of OCD. All of that not being productive and extending timelines.

So I am wondering if there is QMS existing, where the records (documents, policies, SOP, however you name it) can be created in the QMS itself through forms, taking away all the formatting, potential procastination aspect of it, to standardise them. You would still have the possiblity to bring in external documents such as Drawings...

I hope the above makes sense, thanks for any feedback.

Hi Pancho,

Thank you for the suggestions, I will look in more details for the advice from that thread.
I never thought of it as I had in my mind some kind of Forms template.

Thank you

Hi Pancho,

Thanks to your suggestions I am looking at using a wiki-based system for the new management system I am developing.
We currently have an ancient, hard-copy, paper based system that has been plodding along for years... since BS 5750...

I have been tasked with bringing it all kicking and screaming into the year of the beleaguered badger...
Looking at using DokuWiki for the new system.

Thank you so much for the inspiration.

So, a wee update on the development of a Wiki based system...
I've installed DokuWiki onto a USB Stick. It utilises an Apache web browser, so that you have portability and so far it works well. I have been working on the trial at home as well as in work.
I have created sample pages for an IMS Handbook (Management System Manual) and for Management System Procedures.
Using Headings within your documentation in the Wiki creates a Contents List in the side bar, so that you can go straight to whatever you are looking for.
Editing and saving of your documentation is a doddle and the wiki maintains the edit and revision history.
So, it looks very good so far.
As the trial with sample documentation has gone well the next phase for me is to begin to create the system with the drafted documentation that I have been working on for the company.
This will also be conducted using the USB version. Once this proves itself to be viable, I will present to senior management for consideration and hopefully approval.
When approved, we will move towards a company server based version.

Thanks Pancho and Tagin for commenting.

Tagin - At the moment, only myself can make any changes within the wiki and these changes are recorded in the wiki history. When / if we go "LIVE" it will be myself and the three other Departmental Managers who will have access to the wiki to make and approve any changes. As the Senior Management appointed system representative I am the system manager, I have super user access to everything and the three other managers would only have editing access authority for the areas of their own responsibility. Everyone with access will have a unique username and password to access the wiki.

Revision history would be recorded in wiki history with the usernames of those making the changes and the dates and times of those changes.

The details of who has authority for approval of changes is detailed within our Control of Documentation procedure.
