Guidance on AS 9100 4.2.3 Control of External Records

Hi,

Looking for some guidance, on a recent surveillance visit we received a non conformance for the control of external records, customer specifications, we currently do not have a drawing register because latest issue drawings are supplied with the purchase order, are used to manufacture / process components and are then either destroyed or returned to the client with the goods. occasionaly reference will be made on the PO to additional specs, SABre for example and this is the reason that the non conformance has been raised. If we were to ask that any supporting specifications accompanied the drawings and PO and we applied the same rules, return or destroy, do you think that this may be considered acceptable ?

Do you mean documents of external origin as in 4.2.3 f)?

Are you a build to print supplier or are you the design authority? In our case, we are the design authority but sometimes the customer gives us a copy of a source control drawing. We do not build to their drawings and do not use them for anything other than reference. We do control those documents on a central server though and explain their control in our document control procedure. The big concern for us is that we communicate changes to our design data so that the customer's SCD can stay current.

AS9100 adds no additional requirements to Clause 4.2.3. You are required to control external documents that are necessary for the planning and operation of the quality management system. In this case any needed external documents such as the International Standard itself, commercial specifications such as ASTM and documents such as specifications supplied by your customer per Section 7.2, Customer-Related Processes must be controlled and your process must describe how you control these documents.

Now as for your return or destroy plan, I would have a problem as a customer because how could you prove that the product shipped met the contract requirements if you have not retained the requirements?
