Procedures can definately be created and delivered in PowerPoint.
I have done this and they have been FDA & ISO compliant.

I do understand that software has specific uses but software is also extremely versatile and you can manipulate a lot of the packages to suit your needs.

:yes: I agree with this, these softwares are quite versatile.But at the same time all softwares have USP ,why to use a software for documentation.Which is specifically meant for presentation

Software like Visio should be used for flowchart although the flow chart can be made in others .

My first argument against using PowerPoint for procedures is the availability of PowerPoint throughout an organization. Not all versions of Office include PowerPoint. And while indirect staff may have the full versions with PP included, often the employees on the floor don't.

Sure, there's the free PowerPoint viewer, but that's just one more application that your IT department needs to distribute and maintain updates for. All that just for the benefit of using a tool that's best left to bulletized communications.

BTW, for flowcharting I do prefer Excel over other tools for a variety of reasons*, so I'm not rigid about bending an application for a non-traditional use.


[* Disclaimer: I started a software company, and my first product will be a tool for automating flowcharting in Excel, so you could say I'm biased. :) ]

I appreciate the fact that you added the disclaimer but in fact you are selling the tool.
Maybe you will be willing to give some of us an oppurtunity to give a more critical comment. Maybe we can do beta testing

Sincerely I don’t see any advantage in using MSPowerpoint for other thing that is not to present anything.
As a trainer I use almost exclusively this tool in my training actions. Once I though I could use ppt to show the process interactions to an auditor, but the result wasn’t very brilliant..., at least he wasn’t impressed with all that “show off”... :lol:

Advantages of using PowerPoint for Procedures

If you did your staff training presentation in a PowerPoint presentation,
you can then lift all the information for your procedure and for other tasks.

It can save a lot of work and time.

Some of the slides can be used for visual aids and information signs to save you creating others.

If you really wanted to be clever with PowerPoint, you could design an interactive touch screen presentation for your procedure. You can do this by programming the PowerPoint in Visual Basic.

Procedures without words are even better and it saves on translation.

I agree. There are too many times when people try to use the wrong application for the job. Sometimes one can be too comfortable with one application. But really, the things we are comfortable with are in most applications (ever see a Toolbar with File, Edit, View, etc?) Collegues in one department here use Excel for everything (forms, letters, reports, huge lists that should be in a database). With some tactful suggestions, folks like this have a great opportunity for improvement!

Procedure Format

I changed our procedures to HTML years ago. Everyone can get to it, read it, and make copies if need be, no extra software needed. Though I do have some linked that are Word files and a few Excel, our Quality Manual is predominantly HTML. Easy to link, create navigation, small file size, very accessable by everyone with a connection to our Intranet. :biglaugh:

Russ, This is a great idea considering the web browsers are free and it's easy to include tables, text and pictures.
However, I think it would have to be in a situation where there is one or two people controlling the organization's documents. wweng7 is asking for step by step instructions... while basic HTML is not that difficult, it's not something I would want to introduce for a large company, and not something I would care to write step by step instructions for.

wweng7, I would recommend just doing a quick Google search for HTML tutorial and you'll see how you can use it.
