Hey Auditors, When do you choose to fly?

Just opened up my bill from our recent audit. The travel expenses are more than the audit. We had a different auditor this time and he choose to drive, instead of fly. Well driving cost us not only miles, an extra hotel night, but also "travel" time. I could have gone to an all inclusive Jamacian resort for what his travel costs are. Doing a quick check, I think flying would have been cheaper due to the "travel time" savings. I hate to fly as much as the next guy, but when do you decide to fly vs. drive to your assignment.

I do not charge my Clients for travel time.

Anyone else?

a) When that means more money in my pocket.
b) When I can bring my girlfriend/wife and she goes to the outlet mall while I audit.
c) When I have a fully depreciated car.
d) When driving time is less than 5 hours.
e) When the client is located in a nice part of the country and I mix the business trip with pleasure.
f) When the CB does not have a cap in their travel charges...
g) all of the above...:sarcasm:

We have a "nominal" driving decision range of about 300 miles or 6 hrs, after that it's flying.

Depending on what I need to do I may fly to the Dallas area (45 minutes on average but 2-4 hrs counting airport time), or I may drive (5-7 hrs depending on traffic and route).

Is this auditor an Embassy Suites/Marriott or Hampton/HI Express type?

I never did. I charged mileage at the IRS rate. My "Prefer to Drive" range was about 1200 miles when I had the time (I like driving and flying hasn't been enjoyable since the 1980's). I never charged for hotel/motel if I chose to drive and it was a longer drive where I knew it would be a 2 day drive. I figured any time I would drive that far (which I did many times) I was wanting to be a bit more leisurely and take in the sights and such so it wouldn't be fair to charge for lodging.

I'm kinda surprised an auditor would charge for travel time, well, maybe it's just me, but to charge for travel time was/is something very few people could/can justify. You really have to an important (so to speak - like really in demand) person to charge for travel time.

The majority of my audits are 600-2000 miles from my house, so I fly almost every week. When the time to drive is less than flying then I'll drive. About the only time I usually drive a long distance (5+ hours) is when the site is in a remote location where there's not any convenient airport. I have an audit in about a month that's about 50 miles away, so obviously I'll drive there, and no hotel.

I used to offer clients a flat rate for travel (15% of billable time). This forced me to keep my expenses low and give the client a better estimate of total costs. When I drove to a client site, I never charged for my time...

Like next week...I'm working in Little Rock so I'll drive (170 or so miles there) and I'll get to toodle around in my Corvette while doing so:D

Sometimes the organization is the one that dictates travel time be charged, typically based on 8 hours.

As for me, if the assessment is regional (Bay Area/Sacramento, Reno, LV, Phoenix, San Siego) or local (LA/IE/OC) I typically drive.

As a contract auditor I am not compensated for my time except while auditing. So the expense is about flight and car+tolls or miles+tolls for my car. If I was going downeast I'd be tempted to check out the cost of a DownEaster train ticket. I like trains.

I understand it's cheaper to book a flight on Tuesdays, but we're still at the mercy of the market as fares go. Down this week, up next week.

Then there are hotel stays and meals to add to the cost. This combined expense is why it's almost impossible to accurately quote the cost of an audit. Sorry... :(
