Re: Contract Review and Engineering Change System

Hi,
I know that this conversation ended years ago but does anyone know the answer of the following question?
Referring to the article 4.2.3.1 of ISO 16949 (Timely review should be as soon as possible, and shall not exceed two working weeks.), how do I manage it with customers like GM or Daimler? There is no automatic notifying e-mail? Do I still have to check their web site every 2 weeks?
Thanks,
Elif

I suggest you to review the process in place checking their supplier manual if there is a requirement in this sense from their side.
However, the clause 4.2.3.1 refers to your organization that shall have a procedure ( not documented) to assure the timely examination , distribution and implementation if all technical specs of the customer and related modifications.
Hope this helps:bigwave:
I do not know how they proceed in this sense

Re: Contract Review and Engineering Change System

Actually, I have discussed this problem with my SQE. He also said that even in GM they do not have any solution for this problem. He told that he sometimes has the oldest versions of some standards.
We nearly work for all OEM's and we review all websites without a notifier every 2 months. In the meantime, if we receive any notification e-mail from any customer, we review it and inform our customer max within 2 weeks.
I hope it's ok, in terms of ISO 16949 requirements.
Thanks,
Elif

Hi, take into account that a change will require an updated record of customer production part approval when the specifications are referenced in the design record, or if the change affects PPAP documents.
ECN is usually used to witness the change and the date of implementation.
Hope this helps:bigwave:

You can use a service such as the one that IHS provides to get notifications of changes in OEM standards, or you can develop your own system. At a minimum, you should be checking for the latest versions with each new PO, and keeping a record of it.

In 1998, when GM had set a deadline for suppliers to be registered to QS9000, they announced that Boise Cascade would be the official keeper of standards, and that they should be contacted for information as to the latest revisions. Unfortunately, they apparently forgot to tell Boise Cascade, and when queried about revision levels of the standards the customer service people said they knew nothing about it and didn't know how to verify the revision levels.

4.3.2.1 generally applies to what must be done once you're notified or become aware of a new revision of a standard or customer specifications. The best you can do is be reasonably diligent in verifying that you're working to the latest standards, and keep records of your actions in that regard.

Re: Contract Review and Engineering Change System

:thanx:Thanks so much.
I would like to add that the requirement could be also addressed under “review of the requirement related to product” given that any customer documents are included in the contract and “contract review” should satisfy the clause before acceptance and implementation .
Customer representative is the right person to manage this issue you are dealing with.:bigwave:

Re: Contract Review and Engineering Change System

Hi,
I agree with you. If we have any RFQ, PPAP submisson for new part or re-PPAP submission for a modification, we do check related standards.
But let's say the standard GM XYZ is modified and our company didn't get any e-mail or any other notifier from any website. And as we check it every 2 months, we found it out only at that time. Is that ok?

Your original question was "Do I...have to check... every two weeks?" this being in reference to the requirement for timely review. You can't review something that you don't have, so the requirement is not to check every two weeks, but to begin the review with two weeks of receiving updated requirements. Whether or not verification of revision levels every 2 months is adequate, I can't say. It depends on how many standards you have to keep track of, the criticality of the requirements, and other things not in evidence here. What you need to concern yourself with is the possibility that you will do work to outdated requirements, and the risks involved with that.

Regards,
If you find a very fiscal CB auditor saying that if there is a modification today and you checked the web-site the day before , you shall miss the modification and you will be able to check it only within two months minus one day:(
The best approach could be a daily check at the beginning and at the end of the working day...very safe approach...
It does not require lot of time: In any case, consider that the role of customer is key in this sense, they shall alert!bigwave:
