How do we handle Training during transition and overlap from one system to other ?

When transitioning from one Quality Management System (and doc control system), there is a time where you have two active systems. This transition period can be up to a year. How do you handle training when you are transitioning?

We find ourselves with suddenly hundreds of new documents to train to which is a bit overwhealming. Can we write a temporary procedure saying we will not train to documents in our normal 10 days, but instead in 90 days or something like that?

Well you might consider NOT training people, unless you have determined that competency requirements have changed! Let's face it, training isn't going to be needed with a whole lot of people who already know how to do some jobs, if they are just given time to read/study on a revised requirement. Check competency first, then determine what training is necessary.

It's partly going to depend on how your procedures currently read regarding training. If you require yourself to retrain everyone in these circumstances, this might be an opportunity to revise that procedure to make it more "reasonable."
If it's not required, Andy's advice is solid.

We put it in the validation protocol for the new system that training was not required if the document just has a new number but is the same document. Then we put a memo in the employee's training binders that described the switch in documentation number and that training on revision x in the old system is considered equivalent to training in revision y in the new system and that retraining did not need to be re-performed.

Train when it is nearly time to use the system, then make easy-to-use reference materials readily available. Adults aren't computer hard drives: we tend to do best at workplace learning when it's done as needed, when needed, and use the knowledge right away. Adults tend to have rather short attention spans so don't try to teach too much all at once. The reference materials can serve as reinforcement for the lessons, some of which we will forget.
