I have some problem on how to document the requirement of clause 4.2.3 (d), “to ensure that relevant versions of applicable documents are available at points of use”
Listed below are the following scenario:
Scenario 1:
In our system, the effective date is one and the same with the retrieval and distribution date.
E.g. QAS-005 Revision 51 (Document Control Procedure) Effective Date: 08/06/08, Old copy of QAS-005 Revision 50 Retrieved Date = 08/06/08, QAS-005 Rev. 51 Distribution Date =08/06/08.
This happen when the final approval date is on or before 08/06/08.
1. There are cases that the final approval date = 08/08/08, my question is what provision should I made to satisfy the requirements of clause 4.2.3 (d)? Please advise.
2. Is there any other way to improve our system? Please advise.
Scenario 2:
A temporary instruction was been made to document a short-term process. In our procedure, if the said instruction had a customer disposition the effective date will remain as is, and the distribution date will depend on the final approval of the General Manager, e.g. Process the lot despite low yield (85%), yield requirement: 95%. The lot was communicated to the customer that it could be process as is.
Concern: Effective Date = 08/06/08. GM Final Approval Date = 08/08/08.
Therefore, the distributed date = 08/08/08.
Concern: How am I going to satisfy the requirement of clause 4.2.3(d)? What could be the specific provision do I have to make in order for us to satisfy the requirement? Please advise.
