Integration of Quality Manual and Procedure Manual

Dear Friends

I have been asked by my boss to integrate the Quality Manual and Procedure manual as a one set of docs using the process based approach.

Please comment whether I should keep them separately or not?

If yes, how should same be integrated into one complete set of a manual? How to use the process based approach to do this?

You don't need a separate document called a Quality Manual. Define the processes you need to run the organisation in the most appropriate format (flowcharts or narrative, or a combination of the two) and make sure that you refer to the items which are mentioned as required in a Quality Manual in ISO9001. Publish it electronically and the entire system description is your "Quality Manual".

Personally I have always kept procedures and quality manual separate. Each time I update my manual I need to show my customers... if my manual included procedures then that would be a monthly update!!

I agree. First if you have a totally integrated QM, then it does cut down on your agility to effectively implement the processes needed to satisfy customer requirements. While depending on your needs to satisfy internal and external customer requirements, I find it is much better to have the QM as the "Big Q" process with a relationship to the "little q" processes that help you have a value added Quality Management System. I might add that when I perform my QMS internal audit, I audit the processes of the "little q" and when I have finished, I have audited most of the "Big Q".

We frequently have to supply copies of our QM to customers, depending upon your processes, there may be procedural information that you dont want to accompany it. That is why we have a separate QM and Procedure manual. They also ask for procedures as well, but we only send them the procedure index, not the procedure manual.This has always been acceptable since they are interested to know we have the procedures in place, not what the procedure actually is.

As others have indicated, there are pros and cons to either approach. There are no specific requirements as to how the two sets of information should be organized. My personal preference is to keep the two 'documents' separate because:
- the quality manual is usually revised very infrequently as compared to the procedures
- I like to print the quality manual as a hand-out flyier to be used with existing and potential customers, as well as with suppliers, employees or anyone who wants to learn about the organization (no trade secrets here)
- some organizations are reluctant to share procedures with external entities due to trade secrets, legal liability, or whatever else concerns them
- I try to avoid information overload; usually not all procedures apply to all personnel within an organization so one manual (hard copy or electronic) might be too much as opposed to individual procedures

Hi!

When we have a Quality Management System, the document designated on top of the system is the Quality Manual.
Imagine that the Organization having a QMS and its Quality Management, decides to extend its Management System to other areas such as environment and / or health and safety.
What's the name should be used now for the former Quality Manual?
Management System Manual?

Many organizations refer to such documents as QUESH (or SHEQ) Manual. Others call it Integrated Q,E, H&S Management System Manual.

This issue is a little bit more complicated than it seems...
:(
We have to define now the name for a Quality Management Manual, which in future will be a gradually a Manual for the Quality, Environment, Safety, Information Security, Social Responsibility ... and other management system that are going to be applied and integrated in the Organization.
I thought of it already as being the Management System Manual.
I do not know if it will be the best name for the Manual, because today it only deals with the Quality Management and the Organization has its own system of management, including financial management, and top Management is not very happy with this new name...
