Internal Audit Report Meeting - Who should be present?

Re: Audit Report Meeting - Who should be present?

Disagree - strongly. Internal Audits are simply a routine part of life.

Senior Management get Audit Reports and review Audit Effectiveness at Management Review.

If the Audit function is not working effectively -- then this needs to be addressed by the system! If the System requires direct intervention by the CEO -- then the system is quite simply- not effective.

I'm with Richard here. Let's look at it in realistic terms - is any CEO really going to want to participate in audit report meetings (presumably on a regular basis)? I'm sure they have far more important things to be dealing with on a day-to-day basis. As long as they get the detail via summaries (i.e. the Management Review), or find out about any major findings as they occur, surely that is sufficient?

I dont think i'd invite the CEO to an Audit Report Meeting.
Rather bring the audit reports together and discuss at the Management Review Meeting.

Reading the different replies i've come to the conclusion that every audit will require different levels of persons in the report meeting depending on the manager/supervisors involved, size of the department, audit criteria, etc

I've taken on board asking the head of the department who they would like/think should be in the meeting

Slightly off topic...

I have noticed something in the 2 internal audits i've done (I know not many but i am an audit noob!).

I've had the supervisor/manager from each audit into the report meeting, talked about the findings and then set a date to follow up on the NC's.
In the mean time i've had discussions with those involed in the audits to find that the manager/supervisor has not shown them the audit report and/or given much involvement in the OTI or NC's.
Whether this is done by the manager/supervisor so as not wanting others to know the, shortcomings shall we say, of his department.
I thought the idea was that those involved in the in the audits took ownership of there department to fix and problems/issues?

If N/Cs are raised; then they will automatically go into the C/A Process (for which you will have a Procedure) and all outstanding C/As will automatically be routinely reviewed by Process Owners - and - will be automatically reviewed by Senior Management.

Don,t try to pad one system to overcome the shortcomings in another!! That just leads to a complicated ( and ineffective) QMS.

Yes and that is the case.

My point was that there seemed little feedback from the managers down the chain to their workers on the audit they had just participated in.

This is often due to the fact that the audit wasn't giving them anything they could take to 'their people'. To be effective, internal audits must address the issues of process performance which fundamentally affect the community around that process. As I've made clear (or so I thought) audits should be based not on 'ISO' or 'procedures' or anything mundane. They must be based on 'status and importance' of processes - things which, in reality the whole organization should be aware of: Poor performance and risk. Risk to the customer, risk to the bottom line (jobs, if you like) and to reg. compliance (fines).

In simple terms, management will ONLY take audits seriously, when audits (and hence corrective actions) appear to be addressing serious issues - and ISO isn't 'serious'!

From a motivational viewpoint - ask the process owners if they are satisfied with the audit. Did it actually add value - where did it add value and do they have any suggestions to improve.

Getting the people involved in the audit planning - and in particular the scope and purpose of the audit - will generate buy in - . If they consider the audit a useful service - then they will pass the information along - and monitor any corrective actions.

Its all about management - in this case management of your peers.
