I think its pretty common for the quality groups performing audits in any company to have to walk a political tight rope. Some of us are stuck in jobs where the management only supports the ISO certification for the customer and not really to move the business operating system forward. In this case its no use pointing fingers or trying to figure out how to write up your own department for not performing audits, thats what 3rd party auditors do. If you measure your audit process to the metric of % of audits performed to schedule then at least you will have a baseline goal set to improve it. I would just leave the audits not done on the schedule and put them as a reschedule as your own corrective action. Do what you can control, raise situations to management and document those situtions and cover your butt. It does not seem like your management cares much about the quality system.

Why would one willingly and knowingly falsify the audit schedule?
Possible lack of top management commitment to the audit process?

Actually the audit schedule is altered all the time if people ask for a different date, the area manager or process owner is out of town-maybe the company has just had 2500 layoffs-etc etc -we usually put a comment in the excel spread sheet but there is no rule to have to do so.

As far as Selena's issue there are so many ways to handle it, all really depends on how much support you get and how much you want to keep your job-one cannot live by bread alone, but boy take away that bread and see how hungry you get-

You can alter an audit schedule - you just can not ignore it. The auditor will be looking for evidence of "effectiveness".

As a wise Cable Guy once said: "Git 'er done." :cool:

as you said qualityboi, i use a metric of % audit performed from the schedule ,and also of the CA & PA which is late to be decided ...etc. and this is what i will show to the boss.
i will tell, if or not the top managment aren't commited is one fact but to just ignore this kind of NC is not possible. when i asked around me about this posponed audits usually i got the same answer: there is no time? is it allowed as a question ? me i see it above all as incapacity to organise even their agenda :confused:

It would help to know a little bit more about the circumstances behind 'not following the schedule'..........

Were the auditors not released to do this? Was the schedule too agressive? Are the audits linked to any customer/management/regulatory issue.?

You see, not following the schedule is simply a symptom. Before you put 'out there' the notion that internal audits are not being supported and, hence, the unsupported schedule, you've got to be very clear that you're not pushing something that's not understood, not relevant to the business or not value added to management.......

Just pushing a schedule because "ISO-says-so" and expecting everyone to get it is an opportunity to do something different, when they don't! I see you risking your reputation to put blame on people who don't see why they're being blamed.......dangerous for you!

I don't advise you to publish the memo. I'd ask you to research this topic here and see if you can improve how you go about getting management support for your audit program and never have to consider such a memo again!

Well, I do not think this is a good time for a template. This is a situation by situation problem. First, you need to write down the honest reason why the internal audit schedule was not followed. What it the "process"? A schedule was generated, so you can take credit for that. The schedule was distributed, so you can take credit for that. Now, what was the tracking mechanism for the due dates? Was anyone responsible for follow up? Do they have the authority to enforce the due date? If not, who does? How does the tracker inform the person with the authority to enforce the due dates? Was that person notified in a timely basis? What did they do with their authority? Was their reaction effective? Apparently not, if they had attempted to use their authority. Who has the authority to ensure the auditor's priorities and resources allowed them to complete the audit? What did they do? Were there auditors that had the resources and priorities to do the audits, but chose not to? What is the process for handling that.

Once you have the honest reason, you need to carefully state it - factually, no emotion or drama - in a manner that does not too readily adversely affect important people's opinion of your employment continuity...if you know what I mean...

It kind of goes on from there. You really need a root cause and corrective action - not a 'memo". Memo sounds like more syrup on a plate with no pancakes.:cool:

You should listen to the previous advice already offered, but, if you have to have one template, you can use the one I have. Just cut and paste:

Dear interested party,

We have been unable to follow our planned audit schedule for the following reasons:
(Check all that apply)

Management does not care about internal audits

Workforce does not care about internal audits

Internal Auditors do not care about internal audits

We don’t see any benefit from internal audits

Even when we find something important, it does not get corrected.

Who has time for that?


So, see attached a revised audit schedule, which we plan on disregard, as well.
