Is an Internal Audit Closure Certificate required?

My first post, so be gentle please :confused:
My company had assistance in writing our QS procedures for ISO9001:2008 and for the last month or so, I have been rewriting them to conform with our business. I have come to Internal Quality Audits and it says that once the audit file is closed it should contain:
1)schedule
2)checklist
3)Audit team qualifications
4)Closure Certificate

I have searched this forum and looked for examples and have found nothing regarding a "Closure Certificate".

Is this required and if so where would I find an example and the requirements for contents.

Hi Kirt! Welcome to the Cove! :bigwave:

There isn't a requirement for a "closure certificate", however, it is common practice at many companies for the auditor to write an audit summary report which covers the scope of the audit, any strengths documented during the audit, nonconformances found, and any OFIs (opportunities for improvement, points of concern, etc.) and any other pertinent information. If there are no nonconformances found, this is usually considered the "closure" to the audit.

However, if there are nonconformances which require corrective action (and a follow-up audit to ensure effectiveness), then the completion of the corrective action and/or nonconformity report is considered the closure to the audit.

At least, this has been my experience. Perhaps there are others here who will share their experience(s).

Thank you so much, that was my intent to go the route that you had explained, but when I ran across this I became a little worried.
I am going to rewrite my procedure so that defines it that way.

I should probably state that I was speaking in terms of reference to ISO 9001:2008 and ISO 13485:2003, so if your company is registered to a different standard, there may be requirements of which I'm not aware, such as in AS9100 or TS16949.

We are not registered yet, I am just getting to the point where we are going to do an internal audit, then mgnt review and then have an outside auditor come in.
We are looking to be registered ISO9001:2008. The other may come at some later point in time, but I hope that it will be after I'm gone ! LOL

I think your advice is good and will hold up regardless, but just for clarification, AS9100 and TS16949 aren't ISO standards.

For those playing along, it is true AS9100 is not an ISO document, it is released by the Society of Automotive Engineers in the Americas and the European Association of Aerospace Industries in Europe.

TS16949 is an ISO document, not an ISO "standard", but a technical specification. Usually it is a precursor to being a "standard", but due to the complexity of the players involved, it was agreed to remain a technical specification for the time being waiving the typical requirement of "After six years, a technical specification shall be either converted into an International Standard or withdrawn. "

Welcome Kirt,

I am also a bit confused by your list, does the required statement apply to a single audit, or to the annual audit schedule.

  • For a single audit the answer provided by Gidget Stough applies.
  • In particular laboratory studies performed according to Good Laboratory Practice a QA statement is required in each report, stating that all audits planned for that study are performed and, if any, findings have been adequately resolved to meet the audit criteria for that study (i.e. corrections performed, corrective actions planned). The statement is a prerequisite to release the study report. In any project environment this kind of statement may be used to provide auditors additional authority to ensure findings are adequately adressed.
  • You may also provide a closing statement to management that you have completed all audits scheduled for that year (i.e. all reports have been issued). This helps to ensure that all ISO 9001 criteria will be covered by audits annually.

:topic: IIRC, TS did not get enough votes to become a standard, that is why it is a Technical Specification. So, if it did not get enough votes to be a standard, that would make it sub-standard, would it not? :rolleyes:
