I maintain a "Live" Word document covering all the elements (inputs/outputs) of the Management Review on our network that all managers can access anytime. This document has embedded links to data in other files/databases that display the latest metrics (goals, objectives, audit results, etc.). This document is continually reviewed and updated, adding any pertinent data and updating action item status. This way we can hold a Management Review at a moment's notice. We just pull up the document and go over all the data entered. We then finalized this report (e.g.: convert to pdf) and keep it on file as evidence of the review. The old data is cleared out of the "Live" document, with the exception of any new or open action items, and the process starts over.

Most Office applications and certainly Word, Excel and PowerPoint enable you to link other documents via hyperlinks. Search their Help files for Insert/manage Hyperlinks.

Or plenty of advice on the web, eg see this page.

Our auditor requires proper minutes of management review, inputs/ outputs. Previous meeting follow ups.
If we fail to provide these things, it is considered that we are not fulfilling the requirements of MRM with letter and sprit.

Before that, is that helping your organization in managing your quality system ?
The management review like other processes is also in a continuous PDCA loop, and is never ever an isolated periodic event which if so, is completely meaningless.

Hear, hear! But now let's try and convince top management of that. Or is it only me that finds it difficult to try and convey certain 'annoying but statutory required' QM issues to the top?

It can also be that I always find myself in adhocratic organisations, where improvisation is considered the highest level of art and where order and structure are considered 'so bourgeois'. I sure like a challenge. ;)

The Standard specifies certain inputs and outputs, yes. But it does not specify their format, eg, 'proper minutes'. That isn't the only way of doing it as others have pointed . If your auditor 'requires' that, he is not acting in accordance with the Standard but according to his personal opinion and interpretation.

If 'proper minutes' were considered the only way to do it, I'm sure it would have said so. It has no problem specifying a 'documented procedure' for example.

I always prepare a management review presentation with the required input and output. This also serves as the meeting agenda. After the meeting I make the necessary corrections and additions according to the remarks and action points raised during the meeting. This document I have signed by the CEO and myself and serves as the meeting minutes.

I have worked with three different NBs (TUV PS, KEMA, Intertek) and they have all accepted it.

Parch Endicott's method is imho an excellent one, definitely worth looking into how to implement that in my organisation. It would save me a lot of time preparing the information and increase the active involvement of others.

Is it possible that people are using the term "proper minutes" or "meeting minutes" to mean a record of inputs and outputs and agreed upon actions and not a list of who said what? No matter the method there has to be some type of record of inputs and outputs which I think some call "minutes."

Silk Tie's posting #27 gets my vote for posting of the month - maybe posting of the year. Awesome!
