Is there a requirement for Management Review Meeting Minutes?

Hear, hear! But now let's try and convince top management of that. Or is it only me that finds it difficult to try and convey certain 'annoying but statutory required' QM issues to the top?

It can also be that I always find myself in adhocratic organisations, where improvisation is considered the highest level of art and where order and structure are considered 'so bourgeois'. I sure like a challenge. ;)
Interesting - In one case I experienced, the various management/supervision prepared their 'stories' for the review and came to talk to them. They were required to upload details of their process performance etc and their plans to do something about it, as a round of presentations. The 'MR' did little talking and the General Manager asked (initially coached) a lot of very pertinent questions...

The result was very interesting when it came to developing an understanding of management styles etc...needless to say, some didn't like the heat of the kitchen!

Is it possible that people are using the term "proper minutes" or "meeting minutes" to mean a record of inputs and outputs and agreed upon actions and not a list of who said what? No matter the method there has to be some type of record of inputs and outputs which I think some call ". !
Yea, good point. I Virtually never go for a list of who said what as it's not needed. But some kind of evidence of what was reviewed (ie, inputs) and any decisions/actions (ie, outputs) is required. If that's what the auditor means by "proper minutes" I probably agree with him. But somehow I doubt it.

One of the CB in its guideline document on expectations for Companies Certifying to ISO 9001:2008 has given the following guideline in Sec 5.6.


............It should also be noted that formal meetings for review may or may not happen and still be compliant - such as in the case of being accomplished in stages; on going process review; or by circulated documentation covering the system incrementally.

There is no requirement for Top Management to sit in a formal meeting; methods to suffice management review may be in the form of i.e. emails, circulated agenda and topics with decisions by Top Management, escalation process, etc. ............

i dont believe that there is any requirement for a company to maintain minutes per se. the reuqirement is to maintain records of the Management Review. I currently work for a company where records are maintained in the form of PowerPoint Presentations. I have yet to have an auditor require minutes.

What records are generated are up to you, you just have to make sure that they are maintained and that they cover the requirements of section 5.6

I have seen different ways in which records of MRMs were getting captured (in different organizations I have worked with).

The method I like the best is where MRM MoMs were not prepared as the MRM presentation agenda was standardized and templatized. Every MRM would go through the agenda items. For those items where there was nothing to discuss it was clearly stated 'nothing to discuss this time'. And not only that, in case some detail had to be added to a slide it was done in the MRM itself. So MRM presentation ppt was a document rather than a record.

Moreover, the actions initiated in the MRM were captured as part of a running action tracker. And the first agenda item for the MRM was - review of actions from previous MRMs.

Has your "MR" read the ISO requirements? Just wondering.
Sorry, I missed this question. Answer: This Managment Review template and method has been audited against TS16949 and ISO9001 and found to be compliant and has also been noted in a section for praising advanced practices.

Apologies if this was directed at the OP instead of me.
