Is this footer okay for our Controlled Documents?

Dearest Colleagues, :bigwave:

I was browsing looking for some support with the attainment of the ISO 9001 certification, i'm been working on.

So far, I've created a document master list and just need to confirm the footer i'm adding to the documents. (Please see attached).

Please offer your valued recommendations and suggestions. I attained this format of the footer from the book, 'The Quality Systems Manual' by Terence J Hall.

Many thanks in advance. And If I may also say how thankful I am to the creator of this forum for providing such a useful facility to the ISO amateurs like me out there! Well done.

Footer Details:
Top Left: Document Title
Bottom Left: Document Unique ID and Department Responsible for document - 'ID236 highlights this particular document is an, 'internal document'.
Top Right: Version and Revision (v1, v1.2, v2 etc)
Bottom Right: Page numbers

Best wishes.

ID = Internal Document - 'ID245'
WI = Work Instruction - 'WI2'
ED = External Document - 'ED52'
DT = Document Template - 'DT215'

Seems reasonable to me. Identifies the document, the rev lev, and (I assume) the POC responsible for the document. If it meets your needs, it should be fine.

BTW, welcome to the forums!

Also a newbie, but we basically use the same footer format. We have the document number, rev level, and revision date. We have been certified for 14 years, no problems with formatting.

I would hope that no CB auditor worth their salt would make any comment about formatting. Does it work as far as getting control over documents? Ensuring that the right doc. is in the right place at the right time? That's the test...

You don't need a footer or even a header, it's always a choice, but remember this....The more you have, the greater the opportunity to stumble.

999 times out of 1000, document control problems are always a self inflicted wound, and you're just providing greater potential.

I would remove the responsible department. When you decide that 10 documents will now be owned by Department X instead of Department Z, you have just inflicted 10 document changes upon yourself. Put that information in your document list/matirx/database/procedure and save future headaches.

I´m also newbie, i hope to give something valuable

- Would be useful for you in the footer to include "uncontrolled copy when printed"
in order to ensure that only electronic docs are the last versions?
- If this document were a Record, how are you going to identify it as such?

Just more opportunities to have something go wrong

Also a "Record" is normally self apparent...It has information "recorded" on it.
