ISO 9001 Clause 5.6.2(f) Management Review Input in a Small Company

ok, please be gentle with me. I inherited this job. I am a bookkeeper. I got us through our registration and just completed our surveillance audit. We are a small company and most everyone wears different hats. Our owner is here only in the mornings. He walks to each department and they discuss what is going on in their jobs. When we sit down for our "annual" MRM our discussions don't even come close to the standard requirements because we forget what each department talked to our boss about.
I have come up with a form that they can all fill out to help with this. I list all 7 "shalls" in a way that they understand them and they can fill in what shall this fits into.
For the life of me (and I am not stupid) I am having a problem understanding
(f) changes that could affect the quality management system.
Is this trends?

Any help will be very appreciated.

I think anything that could change your processes or procedures

For example:
  • changes to regulations relevant to your business
  • introducing a new product or service
  • moving production overseas
  • bringing in new/ different equipment
  • changes to your organisational structure
I'm sure others can add to this list.

Vicky - you might find it useful to do the review on the owners behalf, present the results and quickly go through them with him. It doesn't HAVE to be a meeting - you can prepare everything you need to. You can also ask around - including the boss when he's there - about anything which is going to change in the coming months. Is he planning on bringing in anyone new? Is he going to buy a new item of equipment? Is he going to have his IT tech guy do some upgrade to an item of software you use? Those types of thing.

You can then record what was planned and then go away and work with the affected folks to bring the QMS up to date etc. SIMPLES!:popcorn:

You have stumbled upon one of the least understood and under appreciated aspects of management review.

Many companies limit the changes that can affect the quality management system to internal changes. Note that the standard does not limit this topic to internal changes only.

It helps to include external changes too. What may they include?

Changes in the market
New customers in the market
New competitors in the market
Changes in technology
New equipment that may make you or your competition more competitive
Changes in the economy
Changes in international trading and manufacturing

The list might be endless.

Every member of the group that is involved with management review likely has some insight on some important changes that the others don't have.

You are involving the brightest and best of the company in management review. Get as much insight from each of them and see that it is shared with all, and the overall awareness of all are increased.

When this level of awareness has been so enhanced, you are ready to determine what improvements can be made to your quality management system, your products, and what resources are needed to do so.

I agree with the previous answers, especially anything that is likely to affect your running of the QMS, try to get a 'heads up' on what is coming so you can PLAN before you DO.

Agree with the others. Basically, it is about translating the organization's strategic plan into action. For a small company, the strategic plan could be just something in the boss mind.

Excellent advice from the above, as usual. The management review is something I am very much learning about. New to the quality role I went through my first MR in meeting form and I think I only found out what a MR is after that first one.

IMHO it is a powerful tool for good as far as quality and QMS goes but you have to be very prepared I reckon to get the most from it.

Very true. It can be very powerful. It can be as powerful as you prepare it to be.
