for clause 8.2.3 Review of the requirements for products and services

there is a case i hope get your advice for it

A cafe provide drinks such as cafe, tea, juice ....etc

the cafe has a menu that include all items

the client enter the cafe and see the menu, the waiter ask the client for his order, and then record this in a block note, if some item is not avilable then the waiter tell the client and ask him if he need alternative, finnaly the waiter repeat the order on front of client to verify it collected correctly

then the waiter send the order to the bar man to prepare the client order

the bar man make the order according to written work instructions

the bar man make a visual inspection and review that he was follow all instruction

then the waiter deliver the order to the client.

all of these cycle is done verbally and not documented

- receiving order from client is verbally
- reviewing the order is verbally
- inspection of order is visual and not recorded ( is this accepted to clause 8.5.1)

is this acceptable against clause 8.2.3, because more documents mean more paper and more effort by staff, where there is not availability to buy a software or mobile application for that.

But in the first case, what is written in the paper (block note) , that is a valid record.

For the inspection, you can do the same, the barman can write in a paper , Order no. xxx is ok, date , and signature, and that´s all
No need to have a software or mobile for that.

There is no requirement to create any format / maintain records- it's up to your organization to decide.
If a blank paper works for you, no need to create a form with a format number, revision dates. If the size of the organization is big and if you want to standardize the things he/she records, you can create a format to ensure correct information is collected every time and by everyone using this format.

The original question sounds like something one could find in a ISO 9001 related classroom test. The proper answer OBVIOUSLY has to take into account the context of the "organization", a cafe.

8.2.3 has this note, which seems applicable:
NOTE In some situations, such as internet sales, a formal review is impractical for each order. Instead, the review can cover relevant product information, such as catalogues.

In the cafe, the menu could be what is reviewed. Then for 8.2.3.2a, maybe retain a copy of the menu that is agreed upon, with the chef and/or manager signing and dating it?

Technically, 8.2.3.2b (retain documented information on any new requirements for the products and services) could refer to special orders by the customer. Maybe in that case there could just be a statement that special order requests are accepted only if they use existing methods and materials already approved in the menu?

Seems like overkill, for sure, but those pesky "retain documented information" requirements might be an issue for an auditor.

Why would a cafe want to be ISO 9001 certified? Hardly seems cost effective.

Like any other organization, the restaurant adopted the standard as a model for its management system to assure quality to its manager, its owners and its customers.

Perhaps the top manager sees no marketing benefit from paying for a certificate.
