OK, I understand, I´ll try to explain iun detail

Our company has 100 emplyees.

There are the next departments:

- Purchasing
- HR
- Engineering
- Sales

We sell technology by delivering drawings, specs, datasheets
is our main product.

Actually, We have an ISO 9001:1994 certification and are trying
to upgrade to 2008.

ISO was forgotten ( in the past three years, was ignored)
Now I was appointed to "Restart" the system.

We well create/edit all the documentation to comply to 2008

What I need to have very clear is how many people and doing what is
needed in the company to have the system running fine, e.g. for:

- Management representative
- Iso Meetings schedules
- Contacting external clients, auditors
- Supervising the system
- Promoting the Quality System
- editing, keeping track of changes, etc
- controlling the records

So that without hiring a lot of persons but the minimal
necessary to keep the system in shape.

You don't have ISO 9001-1994 certification--no one does. You might have had it and allowed the certification to lapse. But to your point: you need to look at things from the process perspective. Determine what your quality system management processes are, and then who will "own" each process. This requires top management to delegate responsibility and authority. Looking at it from a departmental point of view isn't likely to be helpful, and won't promote use of the process approach.

All this positions, IMHO It seems is suitable for a big company

In small companies how all this functions can be fullfiled by only having two or three
persons and how are called such positions?

Maybe others in the forum have had cases like this.

Hi QAMTY,

One person or team may have multiple roles, e.g. the roles of the QMR and Quality Manager maybe carried out by one person. I generously shared the sample project team titles and roles primarily as your guide, not to confuse you (I gained knowledge from this forum too). You can take the information (that I and many others) provided to you so you can produce blended solutions to meet your specific business/budgetary needs.
Peeps are correct. You can get the realistic views from them for you to see where things are and what are needed.

Everyone is needed for the quality system (as long as they might impact product quality, or customer satisfaction, or the effective operation of your business). What are the duties? Well, management is defined in the standard (along with their actual job duties, and that is for your company to define), and everyone else's duties are defined by management according to what they do, how they impact quality, customer satisfaction and the overall effective operation of your business.

In other words, the ISO standard does not tell you who does what, because each business is different. Sit down, have people tell you what they do, and then begin to document and fit those duties into the requirements.

1. Identify the processes you need to control
2. Assign responsibility and authority for those processes.

Once your system is established, there shouldn't be a lot of activities to worry about insofar as maintenance of the system is concerned.

Yes, both SteelMaiden and Jim are right.

Your questions sound as though you're going about this from the wrong end - behaving as though the 'quality system' was a completely different thing from what is needed to manage the business and ensure customers get what they expected and ordered, consistently.

What may have been missing is someone at senior management level with overall responsibility for the system (see management representative), and having key responsibilities for the system itself embedded into roles and responsibilities.

But do remember: every business (every one!!) is different. Don't try and impose a generic 'iso' organisation onto yours - because a/there's no such thing and b/there's no such thing and c/even if there were, it wouldn't work (which is why a/ and b/). :D
