ISO9001:2000 Quality Work Instructions & Forms - Seeking Templates and Examples

Work Instruction Formating

First of all.... lets understand that Work Instruction (WI) is meant for guiding the work level.... basing upon which supervision or work control or product QA can be excuted well.

To arrive at the WI.... suggest one to conduct a risk analaysis per workflow to arrive at the necessary risk control measures.... under the last clause 'Preventive Action' of ISO 9001:2000.

There are many ways to document the work methods and work control:

AA. If the literacy level of the workers is high.... one could choose to format it similar to what has been done for the 'procedures'....

BB. If the literacy level of the workers is medium.... one may choose to have a one page WI for each work.... on the top of WI - provide boxes for WI Number and Title and singnatory space for initiated/reviewed/approved by.... on the left hand side of your WI - provide boxes for work done by/work supervised by/process or inspection or testing parameters/process limits or acceptance criteria/work environment/infrastructure provision.... on the right of your WI - provide a big space for attaching photos or illustrations.... leave the centre with a big box to document the step-by-step in plan-do-check-act of a specific work.... a variety of this is a table matrix with (plan-do) vs. (check-act) - such WI documents vertically the step-by-step for plan (preparation) and do.... and lay next to each plan-do step the necessary check for common problem... leading to act for suggest countermeasure - so that workers do not overburden the supervisor for each and every common problem.... - if one lay it out in the logical flow of a risk analysis for necessary control.... it is closing to developing a meaningful WI when technically one should know his work better....

CC. If the literacy level of the workers is very low.... or having language problem - a picture is worth more than a thousand words.... bring your digicam onsite to shoot your step-by-step and do's and don'ts.... and turn each WI into a photo album....

I hope the above pointers are specific enough to help anyone with ambition for developement of a reasonably good WI.... - there is no standard template as each organization is just product.work specific....

I hope that I'm not giving you the wrong idea by offering my internal document control procedure for your review. You can see how we have chosen to control our documents. I'm hoping it will give you some ideas, but what works for us, may not work for your. For example, our work instruction is most commonly a print with a router - I have a different procedure for controlling engineering drawings. This may not be the case at your organization.

I did as Wes suggested. I went around and talked to everyone and wrote down what we do - the good, the bad and the ugly. Then I compared that to the shalls in the standard, I also looked for suggestions/ideas in ISO9004 - and we filled in the "gaps".

A little bit of up front info (we make and repair machine details):

We call ballscrews, well, "ballscrews", even though they are a machine detail. Any time you see the word "detail", it means any machine component that is not a ballscrew (could be a spindle or worm gear or acme lead screw, etc).

When we say "line items" that means that if it is an assembly, each component will be a line item (this term stems from our Follow-Up Sheet, each item is on it's own line so we can track the progress of each through mfg). EX: ballscrew assembly = screw, ballnut, flange, etc. Each item is manufactured, each having it's own drawing and router, then all the line items are assembled together at the end.

Hi Russ, I would greatly appreciate a copy of your Work Instructions template. I tend to over due it and write too much where less would be best! Your template would be a great model for me to follow.

Welcome.

As far as the standards are concerned, there is no prescribed format for WI. What is important is that it works for you - from the aspect of your operators level of education/understanding and user friendliness.

Over here we have a lot of foreign labor giving rise to communication problems and therefore the most popular format of a WI consist of the following:
1. Title of WI (purpose)
2. JPEG photos on the left with simple explanation or highlights on the right.
These photos are snapped for each steps of the operation or focused on major and important steps that need extra attention.
3. End with document control items - prepared, approve and revision details.
