ISO9001:2008 Prototype Requirements

Good afternoon,
We are an ISO 9001:2008 job shop. I am unable to find information on making a one time order for someone, how can I get it through the system with out having to make a print package (drawing,dimensions,instructions) and other documents required for production. It could be a prototype that we did not get the job for or a one time order for only a few parts. It takes longer to do the paper work then to make the parts. Can I write a work instruction for these types of jobs saying something about upper management is in constant control of these projects? I am grateful for this forum as I have learned so much from it, and will appreciate any help received.

All you need is a mutual understanding of achievable requirements between your organization and the customer.

And these requirements need to be understood by the people responsible for fulfilling them.

Are you planning to do this verbally or with a sketch? What is the means of communication?

You can simply get it through in any way you want, provided the customer requirements are understood and met in the delivery. It is more the limitations of the system (print package and stuff) that you have made aligning to your larger business style. Make sure that the proper approvals are made for your inputs to make such proto or one time order of few parts. If you see a need to put the information into your system, you can do so at any point of time. For this, manage your approved documents and records of such orders, that will come handy at a later date.
NOTE: Do not get entangled within your system and the standard. Instead map your requirements to the standard, and make your QMS work for your business needs.

We are in a similar situation. Right now we have decided to set aside a different process for our prototypes. We also need to have a different process for the scrap of some prototype material. I've just been sure to have it documented, have the employees engaged in it be trained specifically, document that training, and document which employees are involved in the prototype process.

Our QMS is still in its infancy so we may need to adjust things as we go.

Why would it take longer to do the paperwork? I'd be concerned, right there...

Our customer will often pick up the prototype parts they've asked us to make before they even give us a PO. We have adjusted the way we work with them to fulfill their needs.
