How do you handle audit week?

I would like it to be business as usual but lately it has seem like a rush to close out audit and CARs.

Are you really trying to close everything, or saying that nobody responds to audits and CARs until the external audit is upon them? There is no need to close everything as there will always be CARs in various stages of completion. The first internal audit we have done since I took over was only a few weeks ago, so I don't expect to have it "closed out" just because a registration auditor is on the way. I do have my doubts about the management team actually reading the report though.

I won't vote since I am an auditor, not a company rep. But, I'm pleased to see that so far, "Business as Usual" is the leader (Congratulations, folks), and "hide stuff" has no takers (shame on those who still do that).

I had one case, years ago, where a 16' long bulletin board did not have a single piece of paper posted (although you could still see the faded outlines where the pages had been). I asked a nearby operator, "Where the heck did y'all put all the papers that you took off the board?" Whereupon, he walked over to a nearby desk, pulled open the bottom drawer, and said, "We put 'em all in here until the audit is over...!" :cool:

Back in the early days of our documented QMS, I would have answered differently (last minute document sweep, check all audit reports, etc.)... In the early days, we even had a checklist to pass around to all the department managers of things they need to do before the audit...

Over the years, our culture has changed (mainly through training & continuous improvement)... More recently, at least for the past 10 years or more, it has been "Business as usual" for our surveillance audits.

In general, should be business as usual, but I would review any pre-audit questionnaires and make sure that I understand their questions and the types of documentation that they are looking to find. I would also, via email notify the relevant others in the company that we may need some of their time.

And as anybody in a regulated industry knows, "don't answer a question that wasn't asked." Respond to questions in a truthful manner, but don't babble.

If you dont tidy up a bit or check a few things a little closer - I'd have to guess there is a little untruth to that.

As with any "audit" IRS, ISO, TS, Customer, Military - I think it is natural to either consciously or unconsciously (whichever the case maybe) to look a little closer at what you are doing.

I tidy up a bit and honestly like the interaction and dialogue we have with our auditor. Like it was said - you pay a lot for it, might was well enjoy/take advantage of it. At first I was a little leary about the requirement to change auditors every three years, but since have changed mine tune. Getting a fresh perspective on things only helps your company and far from what it may seem - the Quality Department is there to help :)

We've been certified for less than a year, but I would have to go with "Tidy up a bit". Usually to just make sure that I have the information available for the auditor (in the format that they prefer). No real scramble, sometimes more of a refresher for people. (Although I do remember a few years back at a different job where it was a mad rush. I've grown up)
The audit will play itself out and any problems or concerns are just ways we may be able to improve. It can be a tough sell with management sometimes, especially early on. Some believe if you're not scrambling, you're not trying hard enough.

I agree with you that audits and CARs will be at various stages but occasionally there is upper management that believe all need to be closed before the registrar comes. It was not me who was closing out the CARs. To clarify: I was brought into support a company who was working on their initial registration audit. I was doing the gap analysis and some process audits. During the process audit of the Corrective Action Process. I found that the Quality Engineer/Supervisor was completing the open CARs, verifying them himself, and closing the CARs. The week prior to the internal audit earlier in the year and again the week before the registration audit. During the stage 1 audit that same Quality Engineer already had a non-conformance for auditing his own work. Therefore, I was re-auditing all the areas that he had audited. Yes, competence for their corrective action program and internal auditors did show up in my audit. This is what I currently working on for this company.

Lesson learned be careful what I post that it clearly states my approach and what I observe in audits.

How you vote in this poll depends on how effective your system is. Due to changes in top management, I've been in every one of these categories in the same organization over a 3 year period. I'm out of there now though.

Got through the audit with four minors, way below the number of problems we really have - but that is a discussion for another thread. The only out of the ordinary stuff I did was moving my weekly desk cleaning to Wednesday instead of Friday, mainly because I was expecting to be tied up late on Friday and hate being stuck late on Fridays. I did keep seeing boxes of suspect parts magically appearing in the NC hold area - so someone decided to tidy up.
