Logs in an eQMS

Hello,
Just wanted to see if anyone had feedback on how they have used (or not used) record logs in an eQMS. We are currently transitioning from a paper system to an eQMS. We have some logs (e.g., ECO log, CAPA log, complaint log) which essentially list out date opened/closed, title, and assign an identification number to each record. When we transition to the eQMS all of the actual records (ECOs, CAPAs, complaints) will be in the eQMS. So do we still need to maintain the logs, since we can search in the eQMS? And if we do keep logs, would they still be on paper? Any considerations as we make the transition?

I suggest that you create a data migration plan to consider a couple of things:
  • Which records (if any) need to migrate into the new system for regulatory (or trending) reasons
  • Which records (if any) need to be moved to the new system because they still represent "open items" (and may be otherwise lost)
"Paper logs" themselves probably don't need to be maintained once you have transitioned to electronic records, but you still have to consider the reasons you were maintaining those records in the first place.

We are currently transitioning from MS Access to an "off the shelf" eQMS. The reason you have logs to keep track of progress of work being accomplished on open items. The eQMS has all that info in electronic reports. Also, the eQMS should have notifications that will be sent out for due dates and over dues as an example. "Logs" should no longer be necessary. Reports will be your friend.

Thanks, I like the idea of a data migration plan and will work on doing that!
