Management Review Meetings too Long - How to Shorten and Improve Effectiveness

My company spend a long time to management review meeting (9 Hour )

My Question is how I can reduce time to meeting.
Now I provide Pre - Management Review for save Top management time.
But now I spend 9 hr for pre -MRW and spend 8 hr for MRW.

In detail when each manager presentation not only KPI. but include everything Manpower, Project etc.

And finally it not effectiveness of MRW meeting.

Who have suggesstion for me.

Stop having meetings.
Start having periodic reviews
Conclude with decisions and actions
Make records and communicate to all concerned.
You need management review records and not management review meetings

Might be good for you to conduct a periodic review allowing all Managers to present their stuff and you will summarize/take note of the results and present them during the real MR with Management.
Would be good to look at your MR procedure as well and see where you can add details about periodic review so Managers will have no excuse of doing it with you, if not Managers might not even care of what you are asking them to do.
Right now in my company where I work, I don't see any usefulness of our MR. Managers are not even invited to MR. Obviously no one is looking at their (Managers) KPI's. It is lousy right now. I am planning to revise the MR procedure like I mentioned to include active participation of Managers.

Hi Berseak,

I agree that most of the content of Management Review should be part of the routine management of the organisation and so shouldn't wait until a formal meeting.

A formal Management Review is useful, insofar as it demonstrates the commitment of top management and keeps them involved in the process. However, they don't need to be frequent - once or twice a year is enough. Use an agenda that defines the time available for each section and use someone with good chairmanship skills to move the meeting along.

I'd recommend that everyone with a contribution to make prepares and circulates their report before the meeting, so that only the key points need discussion, so that corrective/preventive action can be agreed.

Most companies use management review meetings to satisfy MR requirement. However, MR is not a general update meeting. Focus on what ISO requires. I would go to the top management and explain to him what I think a MR meeting should be to save everyone's time including his etc. You need his support and commitment. But do your homework first. You don;t go there to complain but to suggest a new route to try.

The effectiveness of MR meeting: Do you mean the meeting itself is not effective, i.e., the decisions from the meeting were not implemented, or the decisions from the meeting, implemented, were not effective? If the former, it seems like a company culture issue. If the latter, the root cause analysis etc (CAPA) may need improvement.

Our MR Meetings used to run on forever. I now schedule them for 1 hour before lunch. Problem solved. :D

There's 7 required inputs to the MR. Your managers are focussing on one aspect: process performance. This can be sumarized in a written report from each and distilled down for top management consumption.

Your basic problem statement would, or could be: Management reviews take an excessive amount of time because managers are supplying input beyond the requirements of the standard. Fix that and you should be in good shape.

  1. Result of Audits
  2. Customer Feedback
  3. Process performance and product conformity (KPI’s)
  4. Status of corrective and preventive actions
  5. Follow-up actions from previous management reviews
  6. Changes that could affect the Quality Management System (selling into a new country, logistics, legal issues, change of personnel, facilities)
  7. Recommendations for Improvement
