Management Review Presentation Duration by each Presenter

Quality Pros. advice needed:

My company's Management Review are held twice per year (every 6 months). Top management request each management review meeting to not last over 2 hours, less the better.
My concern is that by restricting each manager presentation to about 10 minutes, the presentation is too short and not much is reported and/or analyzed with other managers in order to gain opportunities for improvement. What is your opinion? what is a reasonable time to present. Is 10 mins long enough?

Your top management is confused about what review has to be done about the various processes of the management system with presentation from managers.... and so it seems you are too.
Management review is not about presentation and time duration. It need not be in just a 2 hour slot over 6 months period. This is not an impression making presentation stuff.
Management must know what inputs about various processes they need so as to give decisions and set further directions / actions keeping the bigger picture of maintaining and improving upon the policy and objectives of the organization. These inputs must be periodically made available and management review them strategically to be able to assess the strength and weakness of the management system that is operating and further be able to set guidelines.
It is just about this and records of review (Inputs + outputs) that is necessary to sustain and direct the system continually.

I agree with Somashekar, but sometime top managment likes the presentation of it all. So, what my company does, is once per quarter each manager makes a short presentation of what thier goals (objectives) are and how they are working on obtaining/ meeting them. But, every week Top each manager submits a report to top managment of the activites going on, so that top managment can review and determine if the system is being effective.

I absolutely understand the mindset of the manager who dictates "short" meetings.

Here's the deal: Each presenter should prepare a two level report. The first level (top level) is the broad overview - essentially bullet points of highs, lows, and proposed action (this is the oral presentation.)

The second level is strictly written and is a detailed analysis of the top level presentation. If a presenter has no issues, he makes his presentation and sits down. If questions arise during the presentation, or he has drastic proposals for future action, he merely alludes to them by saying, "I have a detailed analysis prepared on that issue which we can discuss with only those directly affected or required for making a decision on go/no go, including necessary funding."

The point is that at mass meetings, rarely are decisions made, only recommendations for further action. Think of this type of meeting as a headline service with a brief synopsis of the story, to be be read in full only by interested readers, or those directly affected.

In today's computer world, I imagine the full story being stored on a network server or in the "cloud" for ready access by interested and authorized folks.

Glad I could help. The horror of a meeting for both presenter and audience is that the larger the audience, the less likelihood that the meeting will result in action being decided on any specific point. What usually happens is that the meetings become "beauty contests" for the presenters.

Presenters who want to get to the "finals" should remember that the "judges" start everyone out as "tens" and then take points away for being off topic, rambling, or boring. No top boss I ever met gave a "ten" to a staffer who wasted the boss's time by showing pretty pictures and heaping flattery on bosses and managers just to say, "There are no problems!"

Worst of all is to say, "No problems!" while hiding the truth about devastating ones. The guy who tries to sweep problems under the rug is usually the one who looks bad in the end.

On the other hand, no reason to beat everyone at the meeting over the head with the problem, embarrassing the department manager in front of everyone. Enough to say, "There are some issues regarding ____ which need to be addressed in detail with the pertinent parties. I have documented these issues and some suggested courses of action in my report available to authorized viewers on our corporate network."

In fact, if these issues were urgent, they should have been brought to the attention of the bosses long before the meeting. Delaying bad news is never the smart thing to do.

you should prepare related information about management review need or report before hold meeting;
then you make a summary according to report or info with dept involved and send to top management and othe responsible dept by e-mail
in the meeting, you show the part of summary and need to analysis item to express improvment method or idea by each manager, and finally let top management make a presentation
so can be reduce more meeting time

Without knowing about the size of the company, I see no reason why each process owner shouldn't have 10 mins. They should be able to report out on the status of their process performance and anything which is planned. The internal audits should validate that the performance is being achieved because the personnel were observed following the defined process.

It makes an interesting exercise for top management to see the caliber of the supervision they employed to do a job - beware that you will find that some, previously thought to be 'good' aren't actually up to the job of managing process performance.
